Job Title: Office Administrator & Sales Support - Appliance Service Company

You will play a pivotal role in delivering top-notch service to our clients while driving sales success.
Responsibilities:
1. Customer Interaction and Service Call Management:
•Receive incoming service calls from clients and provide a friendly and helpful customer service experience.
•Gather all necessary information from clients to accurately log service requests.
2. Data Entry and Ticketing System Management:
•Enter service request details into our company’s ticketing system promptly and accurately.
•Ensure all information is correctly recorded for efficient technician dispatch.
3. Technician Scheduling and Coordination:
•Collaborate with technicians to schedule service appointments based on availability and location.
•Update customers with technician’s schedules and availability, ensuring clear communication.
4. Billing and Invoicing:
•Review and proofread technicians’ work orders to generate accurate invoices for clients.
•Ensure that billing is consistent and compliant with company policies.
5. Collections and Payment Management:
•Manage collections by following up with clients for outstanding payments as required.
•Receive payments from clients and maintain accurate payment records.
6. Sales Support and Upselling:
•Assist in identifying upselling opportunities during customer interactions.
•Collaborate with sales team to communicate potential upgrade options to clients.
7. Office Organization:
•Maintain a clean and organized office environment to enhance productivity.
•Assist in managing office supplies and equipment inventory.
8. Weekend and After Hours Availability:
•Be available to receive phone calls and perform minor duties on weekends and after hours as needed.
Qualifications:
•Proficiency in QuickBooks Online is required.
•Strong organizational and multitasking skills.
•Excellent communication and customer service abilities.
•Detail-oriented with the ability to proofread and create accurate documents.
•Tech-savvy and able to adapt to various software systems.
•Previous experience in office administration or similar roles is a plus.
•Familiarity with appliance service industry terminology is advantageous.
