Job Description
Pacific Coastal Airlines is seeking an HR Assistant (Employee Services Assistant) to join our team! This position is a full time, on-site position based at our head office at the South Terminal of the Vancouver International Airport in Richmond.


The HR Assistant is the welcoming face of Pacific Coastal Airlines and the Employee Services department! This is an administrative support position that is responsible for assisting the Employee Services department with a variety of tasks including attending to office visitors and taking care of inquiries from employees and managers. The successful candidate will have an excellent opportunity to learn and grow their career as they assist the Employee Services department with various tasks and projects.


The ideal candidate is tech-savvy, detailed oriented, a quick learner, and able to provide excellent service to our internal customers. The successful candidate will be friendly and approachable yet able to tactfully enforce policies when required and is willing to take on anything that will make the employee experience at Pacific Coastal Airlines better.


This is a great opportunity for a new post-secondary graduate with human resources or business-related education, or someone with an office assistant background. This is an entry-level administrative assistant position within the Employee Services department. Previous human resources experience is not required and recent post-secondary school graduates will be considered.


Duties & Responsibilities


  • Assist the Director, Employee Services and Manager, Employee Engagement with special projects
  • Coordinate YVR "Block B" passes
  • Assistance with the administration of status change letters, employee leave management, retiree program administration, departure emails, etc.
  • Action new hire IT permissions, and current employee change/subtract permissions
  • Assist with event planning and the coordination of employee activities
  • Maintain the Employee Services SharePoint page (e.g. update Wellness page information, document maintenance, etc)
  • Annual renewal and maintenance of employee corporate hotel rates, discounts, and related documentation.
  • Prepare employment verification and status change letters
  • Assist with the implementation, roll out, and ongoing configuration of Dayforce
  • Administer employee uniforms, including, set up and termination of employee uniform profiles and coordinating with uniform providers
  • Provide general administrative and office assistance to the entire Employee Services team
  • Order and distribute business cards and nametags
  • Coordinate couriers and FedEx as requested by the Employee Services team
  • Administer employee parking pass program and processes
  • Assist with employee-related reporting, auditing, and data management.
  • Employee Store management and related projects
  • May assist with Employee Travel administration, such as setting up and terminating employee travel profiles, processing changes to registered family members, etc.
  • Administer YVR RAIC program and processes
  • Setup, maintenance, and termination of employee credentials related to new hires, transfers, promotions, terminations, etc.
  • Assist with data entry and ongoing general employee file maintenance in the HRMS
  • Perform reception duties including greeting Employee Services office guests and answering the Employee Services phone line
  • Other duties as assigned
  • Administration of Employee ID cards
  • Administrate one or more employee recognition programs


Qualifications


Education & Experience


  • Experience using Ceridian Dayforce or another HRIS in an administrative capacity is a strong asset.
  • High School Diploma
  • Administrative or office experience is preferred
  • Post-Secondary education is preferred

  • Proven ability to complete tasks and achieve deadlines
  • Proficient in MS Excel, including comfortable with using basic formulas and pivot tables.
  • Strong interpersonal skills with focus on teamwork
