We are looking for a detail-obsessed, organized Executive Assistant to join our growing team. GTA-Canada quickly filters and assesses the best agencies and engineering teams by quickly matching culture fit, domain expertise and technical expertise.


Role and Responsibilities


EA to CEO approximatelt 20 hrs/wk

● Communication and correspondence: Handle incoming and outgoing communications on behalf of the CEO, especially emails, Linkedin and Slack channels. Prioritize, delegate to self or CEO (typically) and respond accordingly.

● Calendar and schedule management: Manage the CEO's calendar, coordinate appointments, meetings, and travel arrangements, and ensure they are well-prepared for each engagement.

● Expense reporting: Handle expense reports for CEO

● Miscellaneous tasks: Support the CEO with various administrative tasks, such as drafting and proofreading documents, supporting presentations, conducting basic financial analysis, and performing other ad hoc duties as required.

● Information management: Organize and maintain confidential information, documents, and files ensuring easy access and retrieval when needed.


Office Administrator/EA to VP Ops approximately 20 hrs/wk

● Travel arrangements: Make travel arrangements for the CEO (personal and work), as well as work related travel for the remainder of employees. This includes booking flights, accommodation, ground transportation, and preparing itineraries (with additional notes on attire, directions etc)

● Information management: Support organization of digital file structure (Dropbox). Organize and maintain confidential information, documents, and files ensuring easy access and retrieval when needed.

● Event planning: Assist in organizing company events, conferences, board meetings, and social functions, including logistics, venue selection, catering, and coordination with attendees.

● Expense reporting: Handle expense reports for VP Ops

● Relationship management (where applicable): Foster positive relationships with internal and external stakeholders, including clients, investors, board members, and team members, acting as a point of contact and maintaining professional and effective communication.

● Confidentiality and discretion: Maintain strict confidentiality regarding sensitive information and exercise discretion in handling confidential matters.

● Calendar and schedule management for VP Ops as needed

● Redirecting info@email to team members

● Minor online research as requested


Character/Skills

● Excellent communications skills including concise and precise use of English. French bilingualism desired

● High attention to detail

● Able to forecast what’s next by being ahead of the game in preparedness.

● Positive attitude and “I got this” attitude.

● Proficient in MS Office (Word, Excel, Powerpoint), Slack and LinkedIn.

● Curious researcher

● Flexible and comfortable with change

● Ideally savvy in social media

● Post secondary education required
