Job Description

We are seeking a driven and self-motivatedOffice Administratorto join our Business Support team. This individual is an energetic professional who doesn't mind wearing multiple hats. You should be experienced in handling a wide range of administrative duties and able to work independently with little or no supervision.

Responsibilities & Duties

  • Perform Accounts Payable (verifying and coding of invoices) & Accounts Receivable (preparing invoices and collections)
  • Prepare work orders, purchase orders, quotes, etc.
  • Receive and manage all in-bound/out-bound mail, couriers, and deliveries
  • Assist with inventory management, shipping / receiving parts, support stocking of service vehicles with parts and re-stocking inventory, assist with warranty claims, and parts quotes and counter sales
  • Answer, screen, and forward incoming phone calls in a timely manner
  • Monitor, order and maintain inventory levels for stationery, office supplies/equipment
  • Payroll Data Entry including entering timesheet hours accurately on a daily basis
  • Perform other duties and special projects as required
  • Greet all visitors in a positive & professional manner, determine nature of business, and direct to the appropriate personnel

Experience and Training Requirements Required

  • Tech savvy with variety of software and apps
  • Strong interpersonal skills
  • Expertin MS Office Suite (SharePoint, MS Teams, Outlook, etc.)
  • 3+ years’ experience in an office administrative or office management role

Asset

  • Certificate or Diploma in Office/Business Administration
  • Experience working with Accounting software and SharePoint
  • A background in construction or oilfield industry

Knowledge, Skills and Abilities

  • Ability to be organized, prioritize tasks, and manage changing priorities and processes
  • Excellent customer service minded with a high level of professionalism
  • Strong analytical, accuracy, attention to detail and problem-solving skills
  • Critical thinking; proposing solutions and contingency plans as needed rather than simply completing tasks
  • Excellent communication skills both verbal and written
