Job Description

Our Calgary location is seeking an experienced Office Administrator to support our diverse operations. This position is Part-Time with various shifts through out the week.


The Office Administrator will assist and support all customer service, logistics, and administrative needs. The Office Administrator will work to ensure all that all office and operational needs are met.


Responsibilities


  • Execute procedures such as setting up customer accounts, processing order forms, applications and requests.
  • Maintain and order office supplies.
  • Maintain optimum inventory levels.
  • Sales support as required.
  • Manage and maintain customer databases.
  • Safety coordinator, implement safety plans and procedures
  • Comply with and participate in the Company’s Health & Safety and Quality programs and initiatives.
  • Maintain a tidy and orderly work area exhibiting pride in work performance and contributing to a healthy and safe work environment.
  • Coordinate approval of vendor invoices to send toa counting for data entry and payment
  • Assist with shipping and receiving as required.
  • Ensure exceptional, courteous and respectful customer service.
  • Continuous updating and maintenance of filing systems.
  • Linkedin Postings updates.
  • Parts support and relief coverage as required
  • Reporting to the General Manager, the successful candidate will be responsible for overall administrative duties including but not limited to; filing, faxing, scanning, data-entry, typing, formatting documents, minute-taking, photocopying, preparation of charts/graphs/reports, etc.
  • Assist/support the expansion of the business through excellent customer service.
  • Submit completed invoice billing requests to accounting
  • Maintain supplier relationships, including vendor complaints, confirmation of vendor pricing
  • Perform any other duties as required.


Qualifications/Experience


  • Minimum of two years of progressive administration experience.
  • Completion of a certificate or diploma in a related field an asset.
  • Previous working experience in the aviation industry with and understanding of inventory control, sales and customer relations is preferred.
  • Strong relationship building skills and ability to function effectively in teams.
  • Professional, punctual, meticulous and diligent.
  • Strong time management, organizational, and prioritization skills, with high attention to detail.
  • Well-developed interpersonal and communication skills, with the ability to communicate with individuals at all levels of the organization.
  • Able to work collaboratively as a productive member of the AGFT Team.
  • Customer focused and service driven.
  • Excellent computer skills with proficiency in the use of Microsoft Office Suite including Word, Excel and Outlook are required.
  • Flexibility and proven experience in balancing competing priorities and juggling a variety of responsibilities.
  • Self-motivated and self-directed with a demonstrated ability to work with minimum supervision in a fast-paced, dynamic environment.
