Office Manager/Executive Assistant

We are seeking an energetic, organized, and proactiveOffice Managerwho can also handleExecutive Assistant responsibilities. This dual role is essential to maintaining the smooth operation of our office and providing top-level assistance to our executive team. This is a full-time role located in Downtown Calgary.


Local candidates only. No relocation.


To be successful in this role, you should be well-organized, have excellent time management skills and be able to act and problem-solve with limited guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members. We are looking for someone who can be proactive in identifying areas where our processes and procedures can be improved.

  • Comfortable working in a Non-profit/Union environment. Able to accurately take Board Meeting Minutes.
  • Someone who is curious, thinks deeply, and is interested in finding effective solutions to a wide variety of problems.
  • Highly motivated and self-directed.
  • Calendar Management – you live by your calendar, never miss deadlines or appointments without notice well in -advance.


Job Responsibilities:


  1. Organize and schedule meetings and appointments for the executive team.
  2. Organize office operations and procedures.You are the “go to” person for the team!
  3. Oversee the office budget, ensure accurate and timely reporting for the CEO and Directors.
  4. Design, implement and maintain filing systems, ensuring physical and digital documents are easily accessible and managed effectively.
  5. Ensure office efficiency by guaranteeing all administrative procedures are carried out in a timely manner and office supplies are procured and managed.
  6. Represent the company professionally with excellent interpersonal skills and the ability to work with a variety of stakeholders, including staff, board members, and external partners.


Qualifications:

  • Honed MS Office skills, spreadsheets, create documents, manage calendars etc.
  • Conscious promotion of the company to clients and prospects
  • The ability to manage and prioritize various tasks throughout the day on a daily basis
  • Business Or Administrative Education Degree.
  • Huge initiative and resourcefulness
  • The ability to produce business correspondence, proofread for grammar, spelling and punctuation with a high degree of accuracy
  • 4+ years working experience in Administration, Executive Assistant and Project Management.
  • The desire to make a real difference within the company and have fun along the way
  • Strong problem-solving skills and organization
  • The aptitude to prioritize tasks and have the necessary time management skills to keep the busy office functioning efficiently
