Job Description

We are looking for an Executive Office Coordinator to join our team and provide administrative support to our executives. As an Executive Office Coordinator, you will be responsible for ensuring the smooth functioning of the office and providing excellent customer service to our clients. This is an entry-level position, and you will have the opportunity to learn and grow in your role.

Responsibilities:

  • Conduct research and prepare materials for meetings and presentations.
  • Maintain and organize files, records, and confidential information.
  • Manage the executive's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Perform general administrative tasks, including ordering office supplies, managing expenses, and handling incoming and outgoing mail.
  • Answer and direct phone calls, emails, and other correspondence.
  • Assist with drafting and editing documents, reports, and presentations.
  • Coordinate with other departments and external partners to facilitate communication and collaboration.

Qualifications:

  • Strong problem-solving skills and the ability to adapt to changing situations.
  • Prior administrative or customer service experience is preferred.
  • Proficiency in Microsoft Office and other relevant software applications.
  • Excellent organizational, communication, and time management skills.
  • Strong attention to detail and accuracy.
  • High school diploma or equivalent; post-secondary education in business administration or a related field is a plus.
  • Ability to work independently and as part of a team.
