Position Overview:
We are seeking a dedicated and organized Office Administrator to join our team at our Spruce Grove office. Reporting to the Director of Operations, the Office Administrator will play a crucial role in maintaining office operations and ensuring a professional and welcoming environment. The successful candidate will support key initiatives, handle administrative tasks, and provide exceptional customer service to both internal and external stakeholders.
Key Responsibilities:
- Perform monthly inspections of the office, ensuring compliance with safety regulations and maintaining fire extinguishers and first aid kits.
- Coordinate site-wide communications as required.
- Train drivers on the use of in-vehicle tablets.
- Manage confidential documents with integrity.
- Maintain cleanliness and organization in common areas, including the copy room, kitchen, entryway, and washrooms.
- Provide IT support, troubleshooting hardware and software issues.
- Enter data accurately and perform quality assurance checks.
- Provide administrative support to the on-site leadership team.
- Conduct inventory counts and monitor stock levels, coordinating re-stocking as needed.
- Perform other duties as assigned.
- Receive and manage packages, mail, and other deliveries.
- Welcome and assist visitors, ensuring they sign in and receive necessary safety information.
- Answer incoming calls and direct them to the appropriate personnel.
- Serve as the primary point of contact for contractors working within the office.
Key Competencies:
- Strong problem-solving skills to identify and resolve issues promptly.
- Proficiency in Microsoft Office Suite, especially SharePoint, and other office software.
- Discretion and integrity in handling confidential documents.
- Strong administrative skills to handle phone calls, deliveries, and assist in SharePoint administration.
- Basic knowledge of office safety and compliance, including maintaining fire extinguishers and first aid kits.
- Excellent communication skills to interact effectively with visitors, employees, and contractors.
- Ability to troubleshoot and resolve IT hardware and software issues.
- High attention to detail for tasks such as inspections, quality assurance, and data entry.
- Strong organizational skills to maintain common areas, coordinate services, and manage confidential documents.
- Excellent customer service skills to create a positive first impression for visitors.
