Job Description

Are you an organized and detail-oriented individual who can manage bookkeeping tasks and handle office administrative responsibilities? Join our team as a skilled Bookkeeper/Office Administrator. This role contributes to the smooth operation of our business by ensuring accurate financial records and providing essential administrative support.


Responsibilities:

1.Bookkeeping:

  • Prepare financial reports (balance sheets, income statements, and cash flow statements).
  • Prepare filings for GST, PST, WCB, EHT and Payroll Remittances.
  • Perform bank reconciliations and allocate funds appropriately.
  • Maintain accurate financial records using accounting software (Sage 50/QuickBooks).
  • Process accounts payable and receivable: invoicing, payment monitoring, and account reconciliation.
  • Handle payroll processing, including hours calculation, benefits management, and payroll reports.


2.Office Administration:

  • Maintain and update company databases, records, and filing systems.
  • Oversee general office operations, including correspondence, supplies, and space organization.
  • Coordinate meetings and appointments, including scheduling and preparing materials.
  • Support HR functions, such as employee record-keeping, onboarding, and organizing company events.
  • Answer calls, greet visitors, and provide professional assistance.


3.Communication and Collaboration:

  • Maintain confidentiality and integrity with sensitive information.
  • Collaborate with team members to streamline processes and improve efficiency.
  • Liaise with clients, vendors, and suppliers to address inquiries and resolve issues.
  • Communicate effectively with colleagues, and stakeholders, providing timely updates and reports.


Qualifications:

  • Strong verbal and written communication skills.
  • Attention to detail and high level of accuracy.
  • Strong understanding of bookkeeping principles and practices.
  • Knowledge of payroll processing, tax regulations, and financial reporting.
  • Strong ethics and ability to maintain confidentiality.
  • Demonstrated problem-solving and decision-making abilities.
  • Proficiency in accounting software (Sage 50, QuickBooks Desktop and Online) and MS Office Suite (Excel, Word, Outlook).
  • Excellent organizational and time management skills.
  • Proven experience as a Bookkeeper or Office Administrator.
  • Ability to multitask and prioritize effectively.
