Job Description

Chartwell Resource Group Ltd. is looking for an outstanding individual to join our Administrative team. The Office Administrator is responsible for providing administrative support for all levels of the organization and assisting with keeping the office running smoothly. The successful candidate will get hands-on experience in the administrative operations and would be under the supervision of the Head of Business Services in the North Vancouver office.

:

  • Cross train on CRM to provide back-up and assist in payroll review as needed.
  • Manage fleet vehicles by tracking assets and scheduling company vehicle maintenance and care.
  • Prepare monthly client invoices, such as processing invoices for private clients and for the Squamish office
  • Process company visa charges and expense reimbursements
  • Assist with data management and project archives.
  • Assist with general reception duties, answering incoming calls professionally and redirecting them where appropriate, also share in front door and shipping duties
  • Assist with additional administrative or billable project tasks as required.
  • Coordinate general office maintenance, tidying, monitoring and maintaining supplies for the office and kitchen.
  • Organize and schedule travel, conferences, and department events.
  • Review, edit and proofread reports for various departments.
  • Provide general administrative support for all departments including printing, copying, document formatting and other requests as required.


Qualifications:

  • Completion of High School Diploma.
  • Excellent written skills and verbal communication skills.
  • Post-Secondary certificate or diploma from an administrative, business management or communication program is considered an asset.
  • Intermediate Microsoft Office skills (Teams, Word, Excel, Outlook).
  • Ability to use common computer software packages and online applications.
  • Ability to meet deadlines while ensuring high standards of accuracy.
  • Willingness to assist Administrative Assistants to resolve problems and learn how to follow company procedures.
  • Experience in a professional office environment would be an asset.
  • Ability to follow instructions provided by Managers or other senior members of staff.
  • 3+ years of administrative, accounting and/or customer service experience.
  • Willingness to work as part of a team of office staff in a busy environment.
