Job Description

An exciting opportunity to join the premier real estate brokerage in West Vancouver! Engel & Volkers West Vancouver is looking for a Full-Time Office Administrator for our real estate office in West Vancouver. The ideal candidate would be someone who is hard-working, adaptable, a self-starter, capable of multi-tasking, thrives working independently as well as in a team environment, and who is eager to help and collaborate with various departments, managing projects from inception to maturity. This role is responsible for processing real estate transactions for multiple realtors with a focus on excellent customer service and ensuring all office responsibilities are processed and completed in an accurate, timely and professional manner. The ideal candidate will have real estate industry/marketing experience and will be thrilled to play a key role in a growing, global company.


Duties include:


  • Maintaining filing system both digitally and for hard copy files
  • Coordinating with the marketing department various projects including collateral development, printing, geographic farming campaigns and advertising
  • Listing Coordination duties - broker loading listings and processing real estate transactions Assisting Agents with day-to-day
  • Ensuring that the office space is organized and presentable
  • Screening and prioritizing incoming materials
  • Answering and directing phone calls Responding to general emails
  • Ordering strata documents, corporate documents and titles Scheduling courier services
  • Banking, specific to deposits Monitoring and ordering office supplies
  • Public interfacing
  • Developing marketing campaigns both for the office and for individual agents


Employment Requirements/Assets:


  • Excellent telephone etiquette and courteous with clients
  • Experience in Marketing & Social Media would be an asset
  • Experience in a similar role would also be an asset
  • Data entry experience is an asset
  • Excellent language skills (English; bilingual considered an asset)
  • Knowledge of Paragon (MLS listing service) processing of required documents would be an asset completion of secondary school
  • Proficient with Microsoft Office - Word and Excel
  • Familiar with graphic design programs also a bonus
  • Punctual, positive and reliable
  • Strong attention to detail and the ability to take initiative
  • Some database management skills considered an asset
  • Fluent in graphic design process and vocabulary would be a bonus
  • Experience in the Real Estate industry as an Unlicensed Assistant
  • Graduate of Marketing Management from BCIT would be an asset
