Job Description


Hospitality Designs is looking for an energetic, driven Sales Administrative Assistant to provide assistance primarily to our VP of Sales, Sales Manager and support our Sales Team. Working with our VP of Sales and Manager of Sales, the Sales Administrative Assistant will have the opportunity to broaden their knowledge, gain experience and build key relationships within our organization.


What a Day In The Life Looks Like


General Reporting


  • Meeting Preparation
  • Lead Action Tracking
  • Daily agenda preparation for morning Sales Team huddle
  • Weekly and Monthly KPI Reports


Administration


  • Complete travel bookings company wide and for customers
  • Tracking and organizing outbound mail to clients
  • Calendar management for VP of Sales and Sales Manager
  • Provide sales related tradeshow support as required
  • Complete monthly expense reports for VP of Sales and Sales Manager


Sales team resource


  • Coordinate Product Knowledge training with Vendors
  • Sending samples, welcome packages, marketing campaign material to current and prospect customers
  • Provide other general support and project-based support as required and requested
  • Coordinate research projects with 3rd Party Indian Team
  • Preparing PowerPoints for weekly Showtime meetings
  • Follow up with suppliers to request samples and for pricing as needed, to help close deals

What We Are Looking For


  • Ability to multitask and prioritize assignments as needed
  • Minimum 2 years’ experience in customer service
  • 1-2 years’ administrative / office experience or the equivalent combination of education and experience
  • Ability to think critically and solve problems on the spot
  • Ability to work independently in carrying out assignments through to completion
  • Strong degree of attention to detail
  • Definitive experience in Microsoft Word, Excel, PowerPoint and Outlook
  • Ability to adapt to changing requests and requirements
  • Great organizational, planning and time management skills
  • Excellent communication and interpersonal skills
  • Willingness to assist with projects and departments outside of the Sales team when requested
  • High School Diploma
