The Property Administrator reports to the Property Manager. The Property Administrator provides the Property Manager with administrative and building operations support, as directed. The Property Administrator is responsible for keeping the Property Manager always informed, seeking guidance and direction as appropriate.


Basic requirements and key functional responsibilities of the Property Administrator include, but are not limited to the following


  • Responsible for ensuring that assets are presented and operated according to the best possible standards alongside the Property Manager
  • Maintain a high level of both written and verbal communication with management, tenants, contractors, and general public.
  • Self-motivated, professional, and flexible with the ability to work both independently and collaboratively in a team environment
  • Strong aptitude for numbers including strong knowledge of accounting procedures, account reconciliation and ability to interpret financial data
  • Should possess a valid driver’s license and an operable vehicle to facilitate travel within the portfolio
  • Ensuring that our tenants are 100% satisfied with our services is one of the key priorities, so having strong relationship building and problem-solving skills is a must
  • Supervise and provide direction to the contractors. Maintain the properties such as janitors, garbage collection, roof repairs, landscaping and pest control etc. Maintain the buildings and site in a clean and professional manner.
  • With respect to 8696 Barnard Street, ensure the building is properly maintained, advertise and assist with securing tenants for vacant units. Assist with screening of all prospective tenants. Answer and tend to enquiries from the tenants.
  • Conduct tenant/sub-tenant move in and move out inspections and maintain all necessary records including submission of paperwork to release security deposits.
  • Respond and attend to after hours emergencies.
  • Ensure that security system, access control system and key log/inventory are maintained and operational as all times.
  • Results oriented, detail oriented and accurate
  • Proficiency in Microsoft Word, Excel and Outlook
  • Ability to meet deadlines, prioritize tasks and work well under pressure
  • Proven organizational and multi-tasking skills, combined with strong communication skills both written, and oral are keys to success
  • Work closely with Property Management in effectively carrying out our contracted property management duties and responsibilities.
  • Experience with Yardi accounting system a definite asset
  • Other such duties as directed and required by the Property Manager
  • Portray a favorable image of the organization as the front-line contact with clients/tenants and sub­contractors.
  • A focus on customer service and working as part of a team.
  • Manage the entire business operation of the Vancouver Self Storage business including all exterior areas of the site and the interior areas of the building located at 8698-8700 Barnard Street. Answer inquiries for rental of storage units.
  • Supervise and manage the onsite employees. Provide guidance, direction and training if needed to onsite staff.ncial reports (monthly and quarterly), contracts, expenditures and purchase orders related to the facilities
  • Being detail-oriented; can work under pressure; meet deadlines; prioritize tasks and deliver timely and accurate results
  • 3 + years of related Property Management experience or post-secondary courses in property management required.
  • Excellent customer and tenant service orientation
  • Exceptional problem solving and attention to detail
  • Proficiency in Microsoft Word, Excel, and Outlook together with other property management software applications such as Yardi
  • To achieve success, Property Administrator should not only be focused on the day-to-day operations of the property but on the long-term potential and profitability of the property
  • Knowledge of operating statements and strong understanding of budgets and recoveries
  • Assist with preparation of budgets, monitor income and expenses to ensure targets are being met, and adjust expenses as necessary to make the business efficient and profitable.
  • Strong communication and interpersonal skills, both oral and written.
  • Assist with the implementation of new programs, and ensuring policies and procedures are followed.
