The Role:

To keep things more dynamic the nature of the job will both be office and out in the field at our properties across Greater Vancouver Area.

The office part of the role:

We are looking for someone who knows how to talk to customers to quickly respond to inquiries about vacant properties, screen applicants, and guide the applicants through the leasing process. Meanwhile, you will coordinate general queries, tenant requests, and on-site operational tasks with our vendors and existing tenants. You will own the scheduling and dispatch of vendors across multiple markets to properties, ensuring a seamless experience when resolving tenants’ concern. You will also work cross-functionally to assist CEO to ensure all activities are carried out accurately, punctually and well documented. This position will foster your growth in the property management industry to potentially become a property manager of our company.

The field operations part:

As a Refinity Field Operations Associate you will be responsible for preparing homes for listing, leasing and being loved by new residents. Afterwards you will work closely with the Property Manager to show our homes listed for rent to potential residents. Moreover, you will also be a key player in helping us build out our new business line (called “Refinity Pro”), which aims to provide our Renovation and Repair Services to Homeowners and out-of-network customers.

You will be responsible for traveling around the Vancouver Area to meet homeowners and vendors at the homes. You must have an eye for detail, focus, and attention to every task given, and hustle. It’s critical that you thrive in a fast-paced environment and be entrepreneurial in your mindset.

Hours are flexible and we’re looking for someone that can help throughout the week including one day on the weekend, starting with 30 hours per week. There is an opportunity to grow from this role into a full-time role at 40 hours per week.


Think you have what it takes? Here is what you will need to deliver:

• Manage rental inquiries, tenant screenings, showings, applications, and leasing process.

• Post advertisements for vacant properties online

• Own and communicate with customers about properties, repair requests, work order changes, etc.

• Scheduling and coordinating maintenance jobs and communicating with owners about repairs

• Conduct site visits and deliver information to clients as required.

• Completing extremely detailed QA checks and ensuring homes are perfect for move-ins.

• Meeting and selling homeowners on repairs.

• Cultivating and developing vendor relationships.

• Provide administrative duties including multitasks to the day-to-day management and operation of single unit properties.

• Provide formal notices to tenants and fill out documents as requested by property manager

• Ensure billing is done within 24 hours of projects completing and well documented

• Pick-up and drop-off keys, letters, packages, and documents.

• Occasionally lift heavy items.

• Update CEO on tasks.


About You:

• Self-Motivated - you’re able to work with minimal supervision while achieving short-term and long-term goals while always on time and responsive.

• Fast-Paced – You roll with the punches - priorities, and schedules change quickly and we need someone who can keep up in a fast-paced environment.

• Detail-Oriented – you have extremely high attention to detail and ability to ensure completion of tasks, with exceptional time management, task organization, and prioritization

• Client Services– you work in service or hospitality and deliver 5-star customer service, especially during adverse situation through exceptional communication skills

• Go-Getter – you roll up your sleeves and do whatever it takes to get things done

• Quick Learner – you’re comfortable learning new software, social media tools, as well as regulations such as Residential Tenancy Act in ON and BC, Canada

• Humble - you’re open to feedback and have a good attitude regardless of the situation

• High EQ (Street Smarts) – you have a strong sense of customer-centricity, empathy, and kindness.


Requirements:

• Reliable transportation, a valid BC Driver's License, and proof of insurance. [REQUIRED]

• Excellent on the phone/verbal and written communicate skills [REQUIRED]

• 2 years of experience in customer service handling questions and solving concerns [REQUIRED]

• Ability to work at least one day each weekends. [REQUIRED]

• Comfortable learning new software and knowledge [REQUIRED]

• Motivated in continued education in the property management industry. (Not-Mandatory).

• Experience in real estate (Not-Mandatory).

• Mandarin or Cantonese an asset (Not-Mandatory)

• Familiarity with the B.C. Residential Tenancy Act, Strata Property Act, regulations and other relevant legislation (Not-Mandatory).
