Job Description
The Company:


Our Client is a top Insurance brokerage firm specializing in the construction and


development industry in North America. Their unique, personal, and specialized


approach allow them to offer the highest level of support to their clients


The Responsibilities:


  • Be certified under the Joint Health and Safety Committee (JHSC)
  • Manage incoming and outgoing mail, deliveries and couriers
  • Great all guests/ clients as a first point of contact
  • Assist with any audio visual challenges when IT is not available.
  • Manage corporate inbox
  • Working closely with Marketing and HR.
  • Lifting of small boxes required.
  • Daily tidying up of reception, café, coffee bar and meeting rooms/boardroom areas ensuring beverages and necessary supplies are well stocked; includes loading and unloading the dishwashers daily
  • Maintain a clean, fully stocked and well-organized environment/office
  • Ensure high service standards is always upheld with clients/visitors and colleagues
  • Ensure mail is opened and cheques are delivered to Finance before 1:30pm daily
  • Greet and welcome visitors in a positive and professional manner
  • File corporate documents, expenses and reports efficiently for specified executive group
  • Report office repairs/upkeep (e.g. burnt lightbulbs, temperature adjustments) to building maintenance through the 310-MAXX website
  • Monitor, maintain and order office (including corporate stationery) and kitchen supplies
  • Taking part in new hire orientation activities
  • Answer, screen, and direct incoming calls
  • Assume the role of Fire Warden (attend annual training session provided by building management)
  • Receptionist coverage (8:30am-4:30pm)


The Requirements:


  • 2+ years of experience working in an office environment
  • Ability to work independently, prioritize required tasks, excellent written and oral communication skills
  • Working knowledge of Microsoft Office Suite, knowledge of Applied Systems Epic is an asset
  • Team player, positive attitude and exceptional interpersonal and listening skills.
