Job Description

Bartek manufactures Malic and Fumaric acid and high purity Maleic Anhydride at their plants located in Stoney Creek, Ontario. The Maleic Anhydride facility utilizes the latest in butane catalytic conversion technology in a self-designed plant and refining process. Centrally located in southern Ontario, Bartek conveniently serves both the US and Canadian markets.


The Office Coordinator contributes to the efficient operation of the business by providing support to Human Resources and the management team while managing the general administration function and interfacing with individuals across the organization.


Position Description:


  • Plan, organize and co-ordinate functions and special events as directed
  • Answer phones, greet visitors, direct general inquiries
  • Review and follow-up on incoming and outgoing emails on behalf of managers as required
  • Support customer and employee communication initiatives
  • Book internal and external meetings and manage conference room booking calendar
  • Manage calendars as required
  • Prepare and review expense reports for the management team members
  • Prepare, update, edit documentation and manage Human Resource filing system
  • Sort and distribute departmental invoices and mail
  • Assist operations and customer service with shipping samples which may include TDG
  • Act as liaison between managers, executives, employees, clients, and other external partners
  • Book travel and accommodation arrangements where required
  • And accurate manner
  • Manage flow of information between executives and cross functional departments in a timely
  • Manage stock and order office supplies as required
  • Set up conference calls and/or video conferences
  • Documentation
  • Attend meetings when required



Abilities & Requirements:


  • Superior time management and multitasking skills
  • Experience supporting a level management team
  • Must be willing to receive TDG certification if not already obtained
  • Advanced knowledge of MS Office suite
  • Strong attention to detail and extreme mindfulness of confidentiality
  • Excellent verbal and written communication skills
  • Ability to prepare complex and comprehensive presentations
