HR Services Coordinator


Job location: our office in Ottawa, Canada. We work in a hybrid environment where the expectation will be to work in the office with a minimum of 3 days a week.


Term Position - 6 month fixed-term contract.


About The Team


The HR Services Coordinator is a core member of the HR Services Hub team responsible for delivering enterprise-wide HR enquiry, knowledgebase, transactional and reporting support to employees, people managers and other HR sub-functions with excellent customer service. The incumbent is responsible for performing a wide variety of tasks within the Hub’s scope of services to ensure consistent and high-quality service delivery following well defined processes and operating procedures. The HR Services Coordinator collaborates with team members across the broader Human Resources group to optimize the employee and manager experience.


What you will do


  • Perform a range of HR transactional/administrative tasks such as new hire and onboarding administration, benefits administration, personal/organizational data changes, creating standard reports, termination of employment administration and HR Knowledgebase content publication
  • Contribute to the maintenance and continuous improvement of Hub operating processes and procedures
  • Administer onboarding including managing onboarding inbox, benefits enrolment, background checks and monitor and track the progress of new employees’ onboarding
  • Address HR Service Hub enquires across a range of HR content areas including responding to routine (Tier 1) enquiries, and effectively escalating more complex enquires (Tier 2/3) to appropriate subject matter experts in alignment with pre-defined service delivery standards
  • Create and maintain employee records


What we are looking for


  • 2+ years of experience in HR operations or HR shared services in a rapidly growing, global, fast-paced environment
  • Excellent customer service skills
  • Excellent communication and interpersonal skills
  • College diploma in Human Resources, Business, or a related field or relevant experience
  • Ability to work collaboratively in a matrix environment
  • Strong attention to detail and organizational skills

  • Ability to work in an agile, dynamic, rapid-changing environment by prioritizing situations which require a sense of urgency
  • Strong time management skills and ability to prioritize daily tasks effectively and escalate issues in a timely manner
  • Ability to follow well-defined processes and operating procedures while bringing a continuous improvement mindset to further evolve processes and procedures
  • Direct experience in working within a shared services delivery model within HR or another corporate function
