Description


We are seeking a highly organized and detail-oriented Finance/Administrative Coordinator our trades client in Burnaby BC. The Finance/Administrative Coordinator will be responsible for supporting various departments in various financial activities and ensuring the accurate and timely processing of financial transactions.


This role requires strong analytical skills, attention to detail, and the ability to work collaboratively in a fast-paced environment. The Finance/Administrative Coordinator will report to the Operations Manager and contribute to the overall success of the organization's financial operations. Please note, this role is 100% in the office and the location is in Burnaby, BC.


Responsibilities


  • Ensure accuracy and completeness of financial data by reviewing and reconciling financial reports, statements, and transactions.
  • Support the invoicing process by generating and verifying invoices, ensuring accuracy and timely delivery to clients.
  • Maintain and update market recovery spreadsheet, ensuring accurate allocation of costs.
  • Collect and compile timesheets on a weekly basis from all portfolios and geographic locations.
  • Coordinate the issuance and retrieval of assets, including xIDs, laptops, and keys, ensuring proper documentation and tracking.
  • Assist in setting up new jobs in the accounting system, ensuring accurate project coding and cost allocation.
  • Update and maintain the general ledger and financial databases.
  • Maintain an inventory of company assets, including equipment and supplies, tracking their location, condition, and usage.
  • Track office supplies inventory, place orders as necessary, and ensure the office is well-maintained and organized.
  • Maintain records related to labor and employment regulations, ensuring compliance with applicable laws and regulations.
  • Manage the processing and tracking of employee expenses, verifying receipts and ensuring compliance with company policies.
  • Assist in maintaining financial records, including invoices, receipts, and other supporting documentation.
  • Attend meetings and record accurate and detailed minutes, capturing action items and decisions made during the meetings.
  • Reconcile credit card statements, matching transactions with receipts and resolving any discrepancies.
  • Assist in managing billing, including invoicing, updating progress reports, and


Requirements


Qualifications:


  • High level of integrity and confidentiality in handling financial information.
  • Computer fluency and proficiency in MS Word, Excel, and Google Sheets.
  • Strong organizational and time management abilities.
  • Effective communication and interpersonal skills.
  • Excellent analytical skills and attention to detail.
  • Proven experience in finance or accounting roles, preferably as a finance coordinator or similar position.
  • Experience using Bluebeam for document management.
  • Proficiency in financial software and tools, including spreadsheets, databases, and ERP systems.
  • Strong knowledge of financial principles, practices, and regulations.
  • Familiarity with Sage Accounting software.
  • Knowledge of the JIRA platform for task and project management.
  • Post secondary education in related fields of administration, finance, or accounting will be considered an asset.
  • Ability to work independently and collaboratively in a team environment.
