The Chief Programming and Events Officer is the executive role that truly keeps the TFYIP on its feet, it is our programming/events that enable us to fulfill our mission and wanting to get as many youth voices involved in the development of public and social policy.
The Chief Programming and Events Officer at the TFYIP is responsible for the day to day operations of the TFYIP, which specifically consists of the following type of operations: (Programming and Events Operations).
Responsibilities:
The responsibilities for this role includes the following:
- Oversee programming administration- membership, programming operations, etc.
- The session last approximately for an hour max, it follows the following structure and format operationally wise: it begins with opening statements from the Chief Programming/Events Officer indicating what the mentorship session goal is, then the members will be able to hear from the mentor themselves and hear what they are hoping to assist and provide resource wise in the session, then there will be a Q/A session between the mentor and youth members, etc.
- Regularly send out email communication updates to members to keep up to date with: upcoming forum events once approved by the board of directors, regular organization updates (new executives/staff, changes to programming operations/structure, new board and advisory board members, etc), upcoming mentorship sessions and opportunities for members and how to register for mentorship sessions, new mentors who join our mentorship network, etc.
- Maintain a spreadsheet registry of all members and include the following information: (First and Last Name, Primary contact information- email, phone numbers either mobile/home/work numbers)
- The mentorship sessions will consist of the mentor, applied and registered youth members and yourself as the Chief Programming and Events Officer.
- Maintain and oversee the TFYIP mentorship network which consists of the following: maintaining and creating a registry for mentors (Ex: contact information, organization they are affiliated with and their contact information, etc.), researching and outreach with stakeholders that have a connection with the TFYIP mission and mandate- Ex: non-profit organizations, charitable organizations, corporations, public sector/government, retired elite and professionals, etc.), present an official proposal to the board of any new mentors that the TFYIP would like to bring onto the mentorship network), send regular communication updates via email to the mentors to ensure they are informed of the mentor approval and selection updates/current status, etc, schedule introductory virtual or in person meetings with perspective and newly appointed mentors to introduce the TFYIP, the focus/goal of our mentorship and advisory program, how they are associated with one of the top five big youth issue areas in Toronto and what they can bring to the mentorship table, etc.
- You will send out an email notice to members shortly after the mentor session concludes asking that the mentors provide their feedback on the mentor session via email, indicating the following: How we did, ways to improve the session, etc. This feedback can be simply shared by members via email response.
- Planning for our Youth Issues forum events and any other events (Ex: TFYIP anniversary parties, etc). This involves meeting with the event planning committee of our board of directors and discussing: What Youth issue to focus the forum on based on the present and problematic issues impacting youth and their communities in Toronto, determining and assigning roles for the event (Ex: MC/moderator, communications/promotion support person, tech support person, etc, dictating the top set of guests should attend a forum or special event via reviewing our stakeholder contact list (for all sectors-non-profit, public and private), determining and developing an official budget for the event working alongside the CFO- this includes setting out the specific individual costs of the event as well as determining the main revenue sources that will result from hosting the event, having the communications/promotion person promote our event via our social media profiles/accounts (Ex: Linkedin profile, Facebook Page, Instagram profile, Twitter profile) and on our website which was built via the weebly website builder, as well as via email communications to selected invited stakeholders, members of the TFYIP youth membership base, creating an official event profile via eventbrite, etc. You will develop an event proposal (via the assistance of the communications department/appointed communications and promotion support person for the event by the event planning committee at the TFYIP to present to the TFYIP Board of Directors, so they can consider it and make a final decision on whether to host the event or not, the proposal should contain the budget proposal for the event, roles required for the event and the recommended names for the filling of the roles, the youth issue of focus that is trending and has the biggest impact on toronto youth and their broader communities today, etc.
- The executive will set membership monthly targets, to ensure we have a set total number of membership applications that we want to achieve and receive and the executive will develop a strategy that will enable us to promote our membership (via email and other communication with external stakeholders that contain potential youth, etc such as: middle schools, high schools, universities and colleges, community centres/youth programs, etc), they will maintain a stakeholder contact list and regularly update it to ensure any new contacts are added into the list for future reference.
- The executive will be responsible for overseeing the administering of our programming which includes: oversight of membership- reviewing all incoming membership application forms via their TFYIP specific email address, reviewing and following up on receipt of application via emailing the applicant, indicating what next steps for the membership applicant, etc.
- Managing and setting up mentorship sessions that youth members can join if interested and if it aligns with your initiative a member is hoping to launch, this involves: sending email communication updates to members to indicate that the organization is planning to host a mentors session and they want to ask youth members to choose what issue area is most interesting or well-aligned with the type of organization or initiative they want to start (almost like having a poll), set a period of time that polling can occur for, once period concludes, review the poll results and send out a confirming email indicating the poll results with members
- This consists of overseeing the TFYIP mentorship network, managing mentor registries, send regular email updates to mentors, researching and finding new potential mentors/meeting with them, etc.
- Oversees the planning of TFYIP events which includes:
- Setting up virtual meetings monthly with the TFYIP's programming and events strategic advisor, to be able to review the performance, structure, mission and mandate of programming and events, to ensure that they are truly attempting to respond and address the top trending toronto youth issues. The executive shall take the advice of the advisor and apply it to improving the TFYIP's programming and events in the future, so they can benefit youth in Toronto closely impacted and affected by these issues.
- Oversee the mentorship program of the TFYIP:
- Once poll results are shared to the members via their emails, begin reviewing the mentors registry to see what mentors are in the network for that mentorship session and reach out to them and schedule a good time and day to discuss the session opportunity via in person or virtual conference to discuss if they would be free, discuss what days and times would work well with their schedules, once a date and time is confirmed from their end, send an email update to members indicating the proposed date and time for a potential session and see if they would all be available to attend the session or not, once all have confirmed their attendance, send an official meeting invite- with enclosed zoom link and information on mentor session, etc.
Qualifications
The applicant would require a bachelors degree in an area pertaining to youth issues advocacy, this can be: A Bachelor/undergraduate degree in sociology, political science, public policy, etc.
They would need a minimum of 1 year experience with a non-profit organization in the area of policy and political issues advocacy, but an organization pertaining to youth issues advocacy would be recommended.
