As an Administrative Operations Specialist, you will be reporting to the Country Manager. The Administrative Operations Specialist is a key member of the administrative support team, responsible for providing high-level office administrative, event management, and clerical support to the leadership team. The office manager plays a critical role in ensuring the smooth functioning of the organization by efficiently managing administrative tasks and facilitating effective communication will be promoting an innovative product that positively impacts patient lives.
To achieve success in this position you will.
•Draft, edit, and proofread a variety of business documents, including emails, memos, reports, and presentations.
•Plan, organize and coordinate meetings, conferences, and events, both internally and externally
•Prepare meeting agendas, materials, spreadsheets, and presentations and ensure that participants are notified and prepared.
•Screen incoming calls, emails, and correspondence and provide timely and accurate responses on behalf of DSCA.
•Provide logistical support for company events and LT meetings.
•Provide logistical support for congress activities (planning meetings, collection briefs, etc.)
•Archive data and documents in compliance with DS SOPs
•Handle confidential and sensitive information with the utmost discretion and maintain a high level of professionalism and confidentiality at all times.
•Identify opportunities to streamline administrative processes and implement efficient solutions.
•Proactively suggest and implement improvements to enhance productivity and effectiveness.
•Provide backup for other coordinators and administrative personnel, when required.
•Other duties as required.
What you bring to the table...
•College degree, additional certifications, or relevant training is a plus.
•Proven experience as an administrative assistant or in a similar role with progressively increasing responsibilities
•Proficient in using office productivity software (e.g., Microsoft Office Suite and other relevant tools (e.g., video conferencing platforms)
•Strong organizational and time management skills, with a keen eye for detail and accuracy.
•Ability to work independently, take initiative, and exercise good judgment.
•Discretion in handling confidential information and maintaining professionalism.
•Strong problem-solving and critical-thinking skills.
•Ability to adapt to changing priorities and work in a fast-paced environment.
•Strong interpersonal skills and the ability to collaborate effectively with diverse individuals and
teams
