Job Description

If so, we have an AMAZING opportunity for you. We are looking for an Administrator assistant to join a dynamic and fast-growing law firm focused on providing exceptional immigration solutions to clients worldwide.
In this role, you will provide comprehensive administrative support to the Accounting Department and to the partners of the firm, assisting with client billing, data
entry, working with Excel spreadsheets, day-to-day operations and ensuring the efficient functioning of our remote workforce.
This position is fully remote, and we welcome candidates Canada-wide,

Responsibilities
  • Creating and monitoring client billing, including the generation of invoices from SalesForce and Microsoft Excel, manipulation of PDF documents and allocation of
payments.
  • Assist with organizing and maintaining electronic records.
  • Support remote team members, addressing their administrative needs and inquiries.
  • Collaborate with team members to ensure the timely completion of assigned projects and tasks.
  • Assist with document preparation, formatting, editing, and proofreading.
  • Conduct research, compile data, and prepare reports, presentations, and spreadsheets as required.
  • Handle incoming and outgoing correspondence promptly and professionally.
  • Enter data into a client management and accounting platform using SalesForce.
Provide executive assistance to the Partners of the firm:
  • Maintain confidentiality of sensitive information and adhere to company policies and procedures
  • Manage and maintain partners' schedules, appointments, and travel arrangements.
  • Perform general administrative duties such as data entry, filing, and office supply management.
  • Coordinate and schedule meetings, conference calls, and virtual events.
Qualifications
  • Proven experience as an administrative assistant or in a similar role.
  • High attention to detail and accuracy.
  • Dedicated office space is required ( you are constantly meeting clients and customers virtually )
  • Ability to work independently and manage multiple tasks simultaneously.
  • Proficient in using Microsoft Office Suite (Word, PowerPoint, Outlook) and other relevant software.
  • Demonstrated problem-solving skills and the ability to take initiative.
  • Highly proficient working with Excel Spreadsheets.
  • Proficient in using remote collaboration tools, such as video conferencing platforms,
  • Strong interpersonal skills and the ability to work effectively with team members at all
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
