Job Description
Gilmour Psychometrics & Administrative Services (GPASS) is looking to hire a part-time Bookkeeper & Administrative Assistant to help with its bookkeeping and business administration.
About GPASS:
At GPASS, we provide psychometric services, including psychological test administration and scoring, report writing, test proctoring, and data collection for psychologists who need help conducting psychological assessments and research. We also provide administrative services to psychologists to help them manage their clinics and private practices. Our team of psychometrists provides friendly and professional virtual and in-person test session services, scores tests efficiently using hand-scoring and computerized softwares, autonomously manages physical and digital client information, and writes assessment report drafts according to the highest scientific standards while tailoring report format to accommodate our customers preferences. We also provide a wide range of administrative services, including case management, office administration, assessment and practice logistics, and more. The Position:
GPASS is currently looking to hire a bookkeeper and administrative assistant to support it during its start-up phase. The position is currently part-time and temporary, with the opportunity for future full-time, permanent employment. The position involves bookkeeping financial statements, expenses, invoices, receipts, and payroll while managing much of the day-to-day administrative tasks involved at GPASS. These tasks involve helping the owner (Curtis Gough) manage the following day-to-day business administration operations at GPASS offices or at the offices of our customers (the psychologists’s offices):
- schedule employee shifts
- coordinate and book client test sessions with psychometrists for psychologists
- send questionnaires and assist in data collection
- manage communications
- update the company’s website and online software programs as needed
- office admin tasks (scanning & copying, shredding, filling, preparing client files, managing supplies)
- purchasing supplies and managing inventory
- delivering files
- managing psychologist digital practice programs and confidential client data
Proposed starting wage range: $25.00-$30.00
Average estimated time: 20-25 hours weekly

Ideal Candidates:
The ideal candidate will be someone who is flexible and dynamic and who is willing to join a new start-up team, to learn on the job, and seek out challenges as this new company and its young founder embark on a new journey in uncharted waters. The ideal candidate will also bring to the table their experience and knowledge of standard bookkeeping practices and familiarity of common bookkeeping software programs in addition to knowledge of and experience with typical administrative practices at health-related practices and clinics, including respect for the privacy and confidentiality of patient information, familiarity with most practice management software programs, and office admin procedures. The ideal candidate will also be a team player, will be able to integrate well into the team at GPASS, and will show a willingness to learn and excel while showing a particular strength in multitasking and organization. Bilingualism (French & English), a bachelor or undergraduate-level degree in psychology or disability studies, a driver’s license, and a personal vehicle will be considered assets. Minimum qualifications and required skills:
a college diploma in bookkeeping with specific coursework or a certificate in office administration
1 year professional experience in working as an administrative assistant at a clinic or professional practice in a health-related field
Proficiency in English (fluency in ready, writing, and oral communication)
Experience and proficiency with Microsoft Office programs
Minimum 40 words per minute typing speed
Familiarity & experience with practice management software, such as Jane App, Owl Practice Manager, or other
Familiarity and experience with bookkeeping software programs (Quickbooks, Turbotax, Freshbooks, Zoho)
Familiarity and experience with Google productivity software programs (Google Drive, Calendar, Sheets, Docs, Slides)
