Job Description
Senior Administrative Assistant (Quebec Canada-HYBRID, Part time, Direct Hire)
PASQAL is a major player in the global quantum computing race. We are a full stack company and the leading manufacturer of neutral-atom quantum computers. Our offerings include quantum computing hardware, cloud access, and software solutions to sectors related to energy, mobility, healthcare, high-tech, aerospace and finance. By embracing the dual analog/digital nature of our quantum computers, we are propelling neutral-atom quantum technology with expectations of delivering practical quantum advantage in the next two years.

PASQAL is opening a technical center in Canada which will provide quantum computing hardware capabilities and software services for North America. We are setting up a team of passionate people dedicated to promoting PASQAL's technology and educating the market on the power of neutral-atom quantum computing.
As a Senior Administrative Assistant, you will perform a variety of administrative tasks while supporting the team responsible for building a world-class quantum computer in one of the most advanced technological fields about to shape the 21th century. Based on your knowledge and experience in all things administrative and your top-notch organizational skills, you will be the trusted support for our growing team to ensure our day-to-day office operations run smoothly. Based in Sherbrooke Canada, you will have a direct impact on the company as one of our first employees in CANADA helping to launch PASQAL's Quantum Manufacturing and Research facility in North America.
Your mission:
  • Schedule appointments and update calendar for senior executives
  • Support senior managers and executives with daily clerical tasks
  • Act as the point of contact for our external accounting company (transfer files, send reports, etc)
  • Help to support and organize onboarding of new employees (order hardware, set up accounts, etc)
  • Plan internal/external meetings
  • Create spreadsheets and presentations
  • Develop and maintain our filing systems
  • Develop, implement and improve office policies and procedures
  • Help to organize social events
  • Purchasing and maintaining office supplies and small equipment in coordination with the facility & supply chain manager
  • Act as the point of contact for group Office Management teams in Europe
  • Help with personnel requests and maintain positive relationship with Corporate HR
  • Make travel arrangements and reservations
  • Greet visitors and provide general support new employees on their first day
  • Invoicing and initiating vendor payments for external suppliers
The facility will be located at the Espace Quantique 1, a unique flagship building under rehabilitation that will house quantum companies in the Quebec Quantum Innovation Zone. We ask for an onsite presence of at least a half-day in the office in Sherbrooke. The rest of the time, the job could be done remotely from the Sherbrooke metro area.
The work is part-time equivalent to 2 to 2.5 days per week to start. It will evolve quickly to full-time before the end of the year. We are very flexible on the breakdown during the week (block of full days, half-days, hours…).
Requirements
  • Complex calendaring (MS office)
  • Hands on experience with MS Office (Excel, Word, PowerPoint, etc.)
  • Strong organizational and time-management skills and a positive, “can-do” attitude.
  • Team player, versatile, organized, pro-active, autonomous and creative, to find pragmatic and efficient solutions.
  • 5+ years professional administrative work experience ideally in a startup environment (i.e., senior administrative assistant, virtual assistant, Office Manager, Front Office Manager, Executive Administrative Assistant, etc.)
  • Full professional proficiency in French & English is REQUIRED (written and oral)
  • Strong attention to detail
  • Devoted to helping the team save time and be happy in a positive work environment!
