Position Overview
The Undergraduate Science Centre in the Faculty of Science is currently seeking a Full-time Regular Senior Specialist, Work Integrated Learning and Careers.

Reporting to the Manager, Undergraduate Science Centre, the Senior Specialist, Working Integrated Learning will be responsible for the operational strategic oversight, leadership, management, and coordination of work integrated learning experiences for graduate and undergraduate Faculty of Science students, including the Science Internship Programs for both internal and external stakeholders. Working closely with the Manager, Undergraduate Science Centre and Manager, Professional Programs internally, this position markets, develops, delivers, and evaluates work integrated learning programs, evaluates feedback, and continuously reviews and implements changes to policies and procedures to improve the programs. Externally, this position builds, fosters and enhances relationships with industry to identify, develop, and create diverse WIL opportunities for Faculty of Science students.
The Senior Specialist will need to be highly knowledgeable in best practices, literature and research on work integrated opportunities at post-secondary institutions and have a strong understanding of the unique needs of Science students. This role calls for leadership, sound judgment and ability to understand how initiatives and will translate into the operations of the Faculty of Science successfully achieving its mandate of student success. The nature of work requires management of multiple simultaneous deadlines, the handling of highly complex and confidential issues and in some cases conflicts that require direct involvement and resolution, with both staff and Academics. There is a high volume of work, wide diversity of responsibilities and complexity of work. The Senior Specialist supervises a small team of Internship Advisors and student administrative support positions. This role requires strong relationships on the University campus and the ability to liaise with staff across the Faculty of Science. This role requires confidentiality regarding all business matters, and to exercise a high degree of professionalism in the execution of duties.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):
Program Coordination - 50%
  • Develop and maintains training manual.
  • Coordinate the maintenance of course information in PeopleSoft and course information sheet
  • Maintain accurate and current student records (Orbis, PeopleSoft).
  • Develop reporting techniques for student and employer feedback; document and summarize feedback from students and employers for the purpose of process improvement.
  • Develop communication material to promote WIL opportunities in Science for students and employers
  • Maintain program budget (e.g. for travel, events, recruitment).
  • Develop, review, and maintains course modules, processes, policies, and regulations.
  • Collaborate and develop relationships with student clubs, appropriate faculty members, and professional associations in order to design and implement appropriate career decisions and job search methods for students.
  • Track program metrics and assists with providing data for recruitment and marketing and provide suggestions in a detailed report for future growth.
  • Contribute to long range plans for and execution of an effective marketing and communication plan in a timely manner, within budget.
Employer and Student Support - 30%
  • Review, approve, and monitor job postings for their suitability for work term placements.
  • Gather feedback from participating students and employers to ensure needs are met.
  • Authorize independently found positions for participation in the various programs.
  • Support students (undergraduate and graduate) and all employers participating in work integrated learning experiences in the Faculty of Science
  • Develop timelines and schedules for program processes such as workshops, meetings, events, etc.
  • Facilitate pre-employment workshops, including the development of materials and alternate delivery methods.
Leadership – 20%
  • Full managerial discretion for direct reports, including recruitment, performance management, training and discipline up to and including termination.
  • Builds year-to-year plans for the portfolio based on needs and successes in conjunction with the Manager, Undergraduate Science Centre and Graduate Science Centre
  • Manage program-level advising policies and procedures within the Faculty, ensuring they are developed in accordance with university processes, policies, and procedures.
  • Manage student and employer communications
  • Identifies professional development needs and skills priorities for the student support team; continues own personal development, learning and training; keeps current with post-secondary developments
Qualifications / Requirements:
  • Comprehensive knowledge of the framework for the University of Calgary degrees and related policies and procedures, particularly for programs in the Faculty of Science.
  • Experience with the Orbis platform is required
  • Demonstrated ability to supervise, organize, motivate, manage performance, mentor and develop staff.
  • Advanced Computer skills including MS Office Suite (including Word, Outlook, PowerPoint, and Excel) required. Familiarization with PowerBI and programming an asset.
  • Demonstrated understanding of career-related issues, experiential or work-integrated learning, knowledge of industry job market and associated trends in order to target industries and clients is required
  • Demonstrated ability to develop and implement strategies to provide value-added service to students and the campus community.
  • A post-secondary credential (degree, certificate, diploma) is required or equivalent experience
  • Experience working in a large, dynamic team with proven personal effectiveness and productivity is required.
  • Minimum 5 years of experience within student affairs
  • Proven organizational skills, multitasking and high attention to detail required.
  • Ability to resolve conflicts related to highly sensitive and confidential matters and dealing with escalated and/or emotional issues empathetically and professionally.
  • Ability to think critically and creatively under pressure while exercising good judgement and discretion required.
  • Demonstrated ability to be resourceful, creative, innovative, and flexible required.
  • Knowledge of Canadian labour laws is essential.
