Join the Communications and Marketing Team in the External Affairs sector as a Bilingual Senior Officer, Communications and Marketing (External Affairs). In your role, you will coordinate the planning and execution of all logistics and activities surrounding the 2024 National Housing Conference. This in-person conference is the largest CMHC led event with 500+ attendees. This position will also monitor participant communications, such as inquiries and issues; ensure that timely, complete, and accurate information is provided; coordinate CMHC activities with various internal and external stakeholders. You will promote and ensure compliance with CMHC's corporate identity and branding style guide and ensure consistency in messaging.


This is a temporary position of a duration of 12 months.


Responsibilities


  • Participate and lead committee meetings, take minutes when needed, and record actionable items.
  • Proactively identify potential mobile app and technological solutions to facilitate the planning process and ensure participant satisfaction.
  • Play a leading role in the execution of project coordination tasks across all phases: initiation, planning, event execution, monitoring, controlling and post-event reporting.
  • Collaborate with the communication and marketing team to develop marketing initiatives including but not limited to e-blasts, social media campaigns, and on-site branding.
  • Track registration and rooming block pick-up and follow up with attendee questions and concerns.
  • Nurture and build relationships with vendors, venue, clients, and stakeholders.
  • Work with the CMHC procurement team to negotiate with key vendors to secure service contracts within event budget.
  • Support the development and implementation of communications and marketing strategies and plans in response to business line and/or corporate priorities by researching key issues, trends, developments, attitudes, opinions, and likely reactions by principal stakeholders.
  • Analyze trends of the event industry.
  • Manage event registration process, ensuring regulatory guidelines are in place to ensure operational efficiency, data collection privacy, and a positive user experience.
  • Ensure contracts are compliant with IT, corporate policy, including Treasury Board Standard (TBS) directives, and all required legislation (Official Languages Act and Accessible Canada Act).


Minimum Qualifications


  • Comprehension of event planning stages and best practices.
  • Knowledgeable of registration software and event mobile applications.
  • Familiar with virtual conference platforms and hybrid event production.
  • Knowledgeable of current industry trends and technology and a willingness to stay abreast of changes through continuous learning.
  • Minimum of three years of relevant experience managing or planning events.
  • Strong oral and written communication and presentation skills in both official languages (French and English).
  • Demonstrated experience in writing and editing communications and marketing plans and a variety of communications and marketing products.
  • Demonstrated experience in communications and marketing.
  • Knowledgeable of professional speakers' bureaus, managing VIPs and protocol for special guests.
  • Experience in event planning and coordinating corporate events, in particular conferences, symposiums, and roundtable functions.
  • Knowledgeable of contract negotiation basics and fostering positive relationships with suppliers/vendors.
  • Strong client management skills with the ability to build and maintain relationships.
