Our private sector client, Canada's leading co-ed youth organization, is seeking an Event Planner to join their organization. This position is remote, with a requirement to be on-site for a few days or one week before and during the event, which will take place on November 19th, 2023 in Ottawa. The successful candidate will be involved in coordinating a significant event for about 125 to 130 attendees.
Duration: August 21 - December 1, 2023 with the possibility of becoming permanent
Salary: $28/hr - $30/hr

About the role
The successful candidate will:
- Edit the script for the event
- Oversee all aspects of event planning and execution
- Coordinate meals and dinners outside of the event
- Coordinate with vendors and ensure all necessary work is completed
- Ensure accurate and timely processing of invoices
- Create and manage schedules and timelines for the event
- Manage accommodation arrangements for attendees staying at hotels
- Be open to the possibility of occasional evening and/or weekend work
- Collaborate with stakeholders for seamless coordination
- Work with tech personnel for proper audiovisual set-up
- Handle logistics and arrangements for the event
- Report to the organization's Director of Change & Strategy
- Manage registration and handle inquiries from attendees
- Book travel and liaise with a travel agent to facilitate registrations and bookings
- Distribute event packages and compile them for those who need it
About you
- Flexibility to work some evenings and weekends as needed
- Ability to work remotely and on-site as required
- Excellent organizational and planning skills
- Capable of coordinating meals and distributing event packages
- Detail-oriented with a focus on accuracy in invoice processing
- Proficiency in managing schedules and timelines
- Exceptional coordination and communication skills
- Have prior experience in organizing large corporate events and administration
- Familiarity with managing registrations and bookings for events
- Ability to handle logistics and accommodation arrangements
