Sr. Associate, Contract Administration and Reporting is responsible for overseeing and managing a central contract management system and providing stakeholder/management KPI reporting throughout the end-to-end contract lifecycle. Sr. Associate, Contract Administration and Reporting works closely with Department/Tower Heads and Sourcing Managers within the Strategic Sourcing and Procurement “SSP” Team in the day-to-day contract management of Third-Party Providers “TPP” and the stakeholders we serve.
Contract management plays an integral role in the SSP team to ensure that all third-party contracts are effectively administered and managed throughout the contract lifecycle. Sr. Associate, Contract Administration and Reporting coordinate’s activities involved in contract approval/execution process and supports key post-contract activities including filing and archiving all contractual documentation, while ensuring contract control processes are enforced in accordance with SSP’s governance requirements. Sr. Associate, Contract Administration and Reporting liaises with internal stakeholders to provide timely information on contractual rights, key terms, and other key obligations. [insert role] will be responsible for maintaining a centralized contract management system including its underlying database, data schema, contract storage, reporting and measuring of key metrics.
Key Responsibilities:
- Maintain all documentation on all SSP policy and procedures.
- Support sourcing managers with managing and administering contracts throughout the contract lifecycle.
- Maintain central contract database and contract storage in accordance with policy & procedures
- Support hybrid workforce enablement plans and flexibility during a transformation of workplace requirements.
- Manage the upgrade/update/enhancement of the contract management system through the product lifecycle ensure stability, resiliency, and innovative features to improve the overall performance of the system.
- Prepares, review and presents reports as requested.
- Monitor and report on key metrics on contract terms and other key obligations
- Monitors and evaluates TPP’s contractual performance and communicates their performance record by providing appropriate recognition and instructions for corrective actions. Develops and conducts TPP assessment and contract specific audit plans as required.
- Support sourcing managers with evaluating TPP performance within the category they oversee.
- Files and archives all contractual documentation through the contract management system.
- Liaise with Accounts Payable and Finance department to support timely payment and invoicing validation to contract commitments.
- Perform other non-specific job-related duties as needed.
- Participate in policy and procedure reviews for Third Party Management.
- Support local office SSP projects and tasks.
- Manage all aspects of contract approval and execution process by ensuring contractual requirements are met contract management procedures and internal controls safeguards are effectively implemented.
- Support the maintaining, tracking, and reporting of the deal pipeline (pre-contract) and savings tracker including liaising and collaborating with internal stakeholders within risk, control and legal to provide timely information and reports.
- Receives, verifies and manages all contractual documentation, including MSA, NDA, Order Forms, SOW, Addendum/Amendments, Notices, Pricing Schedule, etc.
- Participate in design of contract monitoring procedures and ongoing contract maintenance.
- Robust analytical skills with the ability to organize, analyze and disseminate complex data.
- Must have strong communications skills, both oral and written, and be able to do participate and/or lead meetings with cross-functional teams and key business stakeholders. Should also have excellent active listening skills and have the ability to communicate analytics results in a clear and concise manner.
- Must be able to collaborate closely with cross-functional teams at times, and also being capable of holding themselves accountable to meet individual deadlines with little to no direction.
- Strong problem-solving skills including first principle thinking/approach.
- Self-starter that actively engages issues seeking resolution, ability to meet dynamic changes on prioritization.
- Should demonstrate the desire for continuous learning and innovation including interest in automation, process improvement, project management, and data analytics (report and dashboard design)
- Knowledge of contract law, accounting principles and finance.
- Ability to work well under pressure while demonstrating strong professionalism.
- Bachelor’s degree in business administration, finance, supply chain, or other related fields
- Must be able to adapt to market changes and work towards to innovative solutions
- Must be adept at queries, reporting and presenting findings with strong attention to detail.
- 4+ years prior experience in contract administration role or a related field
- Excellent stakeholder management and relationship skills when interacting with both internal stakeholders and TPPs.
