Executive Assistant, Human Resources and Administration JOB ID: HR904
- Conducts research and prepares reports for the Director, as required;
- Assists with preparing and monitoring HR budget lines;
- Prepares executive level correspondence, briefing notes and other written materials as required;
- Assists with updating Human Resources policies and procedures;
- Identifies and recommends issues to the Director for review and consideration;
- Undertakes special projects and research for both Human Resources and Administration (e.g. support for association-wide data collection system, support for HR programs as assigned;
- Supports Equity, Diversity and Inclusion initiatives;
- Manages the calendar for the Director of HR and Admin; schedules appointments, sets up meetings;
- Records minutes for the Labour Management Committee meetings and any other meetings as requested by the Director;
- Assists with the preparation of funding proposals and reports including the collection of data and information;
- Provides confidential administrative support to the Director of Human Resources and Administration;
- Assists in the preparation and co-ordination of all HR budget submissions.
- Demonstrated financial management skills;
- Must demonstrate strong initiative and must be goal-oriented.
- Ability to work in a diverse and multicultural environment;
- Advanced organizational and office administration skills;
- Excellent interpersonal and oral communications skills;
- Ability to work under pressure and respond to changing priorities;
- Expert level knowledge of current computer applications such as Microsoft Office, Desktop Publishing, Database software, E-mail, and Internet in a windows environment;
- Highly detail oriented with a focus on quality and accuracy;
- Proven ability to write executive level correspondence, reports, briefing notes and other written material;
- In-depth knowledge of human resources/business administration normally acquired through the completion of an undergraduate university degree in a relevant field (Cases for Equivalency will be considered);
- 1 to 3 years directly related work experience;
- Ability to maintain a high level of confidentiality and professionalism;
