Assistant – Human Resources
Organizational Development and Talent Management Department
Permanent Full-Time; 37.50 hours/week
$55,600 - $63,000 per annum

Reporting to the Director, Organizational Development & Talent Management (ODTM), the Assistant is responsible to provide support to the Organizational Development & Talent Management Department with a wide-range of confidential human resources departmental tasks.
The Assistant will organize and prioritize tasks to foster excellence within the overall human resources support provided to the College and ensure a positive experience and reputation that is consistent with the mission, vision and commitment to its 5 Pillars; Student Success, Program and Service Excellence, Innovation and Entrepreneurship, Connection to Community and Sustainability.
QUALIFICATIONS
·Post-secondary Degree in Human Resources, Business Administration or related field
·Completion of related professional development courses in pursuit of a Certified Human Resources Professional (CHRP) designation
·Minimum two (2) years of human resources administrative experience in multiple human resources areas
·Experience with Human Resources Information Systems (HRIS) and automated systems, knowledge of Ceridian Dayforce is preferred
·Proven ability to work in a fast-paced, high volume environment with strong multi-tasking and prioritizing abilities
·Demonstrated knowledge of change and project management practices
·Tact and discretion to recognize and maintain strict confidentiality of sensitive information
·Strong client focus with an awareness of and sensitivity to diversity
·Ability to gather information, analyze, evaluate, formulate and recommend appropriate courses of action
·Professional demeanour with a strong customer service orientation and effective presentation and interpersonal skills.Must have strong verbal and written communication skills with superior attention to detail and a high degree of accuracy
·Demonstrated skills with creative problem solving
·Excellent follow-through skills and proven ability to take initiative accompanied with the ability to work independently and as part of a team
·Demonstrated high level of proficiency with computer applications including but not limited to Microsoft Office 365: Outlook, Word, Excel, SharePoint and MS Teams.Experience maintaining web page software is an asset
·In-person, on-site position; must be able to reliably commute and/or relocate to North Bay, ON
DUTIES & RESPONSIBILITIES
- Support a positive and engaged organizational culture by participating and communicating engagement activities and other employee relations related tasks
- Provide project/special assignment support, gather information, conduct research and assemble pertinent materials as required
- Prepare responses to correspondence and enquiries for the signature of the Director and/or Manager
- Verify expense claims and ensure payments made adhere to College policy
- Assist with the compilation and monitoring of attendance reports
- Coordinate and schedule meetings, take minutes as required
- Manipulate data/text and perform editing functions to department correspondence such as formatting, merging, pagination and graphics
- Organize and maintain employee files and documentation, prepare files for storage, prepare new employee files and input data into systems
- Provide confidential administrative support to all areas of Human Resources in completing routine correspondence, reports and audits
- Act as a front line resource by responding to inquiries in person, via phone or electronically to internal and external stakeholders
- Maintain and monitor the overall budget organization for the ODTM office
- Maintain and keep up various database systems
- Identify expenditure trends, check and reconcile financial records and liaise with the College financial services office to resolve discrepancies
- Coordinate employee training sessions
- Assist the Director with working files ensuring that documents, reports and all relevant materials are available and organized before each meeting
- Schedule internal/external activities for the Director, appointments, meetings including location, transportation and other arrangements as required
- Provide assistance to Talent Management by scheduling and confirming interviews and working with job boards and careers sites including preparing documents for job postings
- Prepare department communications for distribution, including general mail-outs as required
