Job Description

Key Responsibilities

  • Monitoring the Aspen and group websites to make sure info is accurate
  • Filling sales office’s supply orders
  • Assist in Salefish and Blackline data entry
  • Co-operating broker invoices – review, approve
  • Assist with setting up Docusign templates
  • Typing deals on site or at head office during openings and new releases
  • BILD and OHBA submissions
  • Liaison between xbase and sales
  • Assist with setting up master templates in Newstar
  • Coverage for sales rep’s time off and/or sick days
  • Responsible for sales office print outs
  • Working at all VIP broker sales events, friends & family events and condo openings/launches(weekdays after regular business hours & weekends)
  • Reports for RealNet, Zonda, Urbanation, Stats Canada
  • Ensure privacy schedule in the agreement of purchase and sale is up to date
  • Maintaining and updating broker lists
  • Monitor for updates regarding FINTRAC

High Rise Department Specific:

  • Sending APAS and cheques to the lawyer after the 10 rescission period
  • Assist with parking and locker allocation
  • Reviewing the APAS after the 10 day rescission period and double checking the inputted lot cards for accuracy in Newstart Sales
  • Sending all additional amendments, replacement cheques and NSF cheques to the lawyer from date of offer up until closing date

Low Rise Department Specific:

  • Assist with loading documents into Newstar & OnLocation once approved
  • Assist with highlighting key words in Subdivision Agreement
  • Assist with new openings and sales office tasks (ie. Ricoh delivery, Rogers, etc) when needed. Note that the coordinator may need to work from the sales office to facilitate these tasks
  • Assist with cross-referencing draft features & finishes and siteplan as part of review process (LOW RISE ONLY)
