Job Description

We are looking for a Project Coordinator to join our IT team for a14-month Contract. In this role you will be responsible for ensuring excellence in project execution for the D365 ERP System Transformation Project. You will develop, maintain, and implement project management tools and procedures to ensure consistent and standard practices across the project, and ensure that the project is within scope, schedule, and defined budgets. You will support the D365 project team by maintaining the project management office for the program, enact PMI processes and agile methodology, coordinate project administration, and track the status of the project, project issues and risks.

  • Follow up on important actions and decisions from meetings.
  • Maintain a list of deliverables and ensures that signoffs are obtained.
  • Assists with preparation of status reports and presentations.
  • Trains project team members in policies and use of Project Management tools.
  • Support stakeholder management with internal teams and external vendors.
  • Coordinate and prepare for weekly project status updates and work with each of the project leads to track the project plan, issues, and risks.
  • Proactively identify project related issues.
  • Record meeting minutes, actions, decisions, issues, risks where appropriate and distribute minutes.
  • Coordinate all project related meetings and events with internal and external stakeholders.
  • Ensure projects adhere to frameworks and all documentation is maintained.
  • Schedule workshops and other project meetings.
  • Help the project manager to monitor project progress.
  • Maintain the project management and vacation calendars.
  • Prepare the necessary presentation materials for meetings.
  • Assist with preparation of invoices for approval and recording of project costs to budget spreadsheet.


What you bring to the role:


  • Effective communication and interpersonal skills (both written & verbal).
  • Minimum 3 years of experience as a Project Coordinator of large-scale ERP programs (preferably D365).
  • Demonstrated ability to analyze information, conceptualize and make sound decisions with a disciplined and logical approach to tasks.
  • Excellent time management and organization skills with a high degree of flexibility and ability to prioritize workload.
  • Must have a high attention to detail with ability to be proactive and initiate action when required, which includes solution-finding and implementation with minimal supervision and/or prompting.
  • Strong administrative skills including the full Microsoft Office suite of tools and project management software (MS Project, Teams, SharePoint, Dev Ops preferred).
