Job Description

We currently have an exciting opportunity as an IT Project Coordinator (ERP). This role is based out of Oakville (Toronto, ON) office, on a hybrid work model, and reports directly to the Senior Program Manager - PMO. This a 12-month contract with possibility of renewal.

Job Summary


You are an experienced Project Coordinator who wants to step into new challenges and have the satisfaction of knowing your role is central to a successful manufacturing enterprise. You want to be part of a digital transformation program named Connect for both IPEX NA and Aliaxis.


You are a self-motivated PCO with experience, who works directly with multiple collaborators to ensure deliverables fall within the applicable scope and timeline. You coordinate with our functional streams (groups) to ensure all aspects of each project are aligned. You are a creative and dedicated individual who will fit with our collaborative culture. You enjoy working with other professionals who believe in crafting innovative solutions to problems.


Principal Activities


  • Handle project documentation for all deliverables including sign-off to support project phase/quality gate exit and QA/Audit.
  • Support the project in creating and administering an Integrated Program Plan (IPP) for SAP program by gathering all relevant information on activities from the different streams (Functional, Integration, Change) and consolidate in our Program management reporting.
  • Follow -up and report on Risks, Issues and Attention points and maintain a log.
  • Provide program planning support, including performance monitoring, variance analysis, status reporting to program partners.
  • Prepare minutes of meeting, logging action items, and follow up with action items’ owner for updates
  • Determine Critical Path and monitor progress against IPP on a continuous basis and identify discrepancies. Identify trends and root causes of deviations against critical path, reschedule planning accordingly.
  • Assist the Project Lead in monitoring, controlling, and administering the SAP program progress and performance, including scope, time, cost, and risk.
  • Align and inform program collaborators and produce the required status report and dashboard for internal and external partners, including executive level dashboard.
  • Assess level of granularity and timing for each activity. Establish dependencies between tasks and streams and outside Connect program.


Qualifications & Experience


  • PMI, PRINCE2 or another industry-recognized project management accreditation, an asset.
  • Perform in a people-focused collaborative team environment. Willing to nurture strong two-way relationships with peers, partners, clients, staff, senior leaders and external technological vendors.
  • Demonstrable experience in coordinating large, complex & multiple projects (1M – 10M) and handling issues and risks for large scale multi-platform programs.
  • Quick learner with an ability to adapt and prioritize within the business environment.
  • Good sense of adaptability in a fast pace environment and being able work with technical and non-technical teams.
  • Ability to work under stress and still achieve the project goals.
  • Ability to think ahead and anticipate problems, issues, and solutions.
  • Experience in large-scale ERP programs involving multiple IT teams.
  • Excellent level of familiarity with Microsoft Office 2010 (PowerPoint, Visio, Word, EXCEL, and SharePoint 2010).
  • 7-10 years of demonstrated experience in various IT ERP and application projects for business groups.
  • Skilled at collaborating across teams and stakeholders in the development of a comprehensive plan that defines critical program factors.
  • Capacity to think through issues and innovate solutions: being strategic, proactive, creative, and systematic in your approach.
  • Demonstrable knowledge of IT system concepts and how they impact business processes.
  • Outstanding interpersonal skills with all levels of the organization.
  • Ability to collect, assimilate and analyze information.
  • Practical knowledge of MS project and Monday.com.
  • Being a problem-solver, a researcher, and a meticulous coordinator.
