Job Description

Job Summary:

Under the direction of the Operations Manager, the Facilities Manager provides leadership and management for the facilities organization. The Facilities Manager is charged with the day-to-day implementation of policies, procedures, programs, and workplace services delivery that provides a well-managed and well-maintained building. An emphasis of this role is placed on a positive response to the concerns and needs of the tenants, environmental health and safety, and quality programs, in coordination with the client's goals and objectives. This position coordinates the activities, financials, vendors, and manpower required for current and future needs of the building and operations.

Essential Functions:

Operations (70%):

·Coordinates, oversees, and manages repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, landscaping, and janitorial work.

·Reviews work orders to ensure that assignments, facilities inspections, and reports are completed.

·Coordinates and manages moves, adds and change activities.

·Obtains and reviews price quotes for the procurement of parts, services, and labor for projects.

·Manages capital projects and prepares related operating budgets and variance reports.

·Manages vendor relationships and trains vendors on work order and billing procedures.

·Responsible for invoice processing and accuracy of cost center coding.

·Provides process and procedure training.

·Conducts financial and business analysis, including preparation of reports.

·Maintains and addresses GMP requirements as they relate to grounds keeping, building repairs and upgrade services.

Administration (30%):

·Provides formal supervision to individual employees within functional or operational units.

·Prepares and delivers performance appraisals for staff.Mentors and coaches team members to further develop competencies.

·Recommends staff recruitment, selection, promotion, advancement, corrective action, and termination. Plans and monitors appropriate staffing levels and utilization of labor, including overtime.

·Locks and unlocks the building as needed for work operations.

·Initiates heating, nitrogen flow, or other needs for production or office use.

·Fabricates cabinets, shelving, furniture, or workstation items as needed.

·Oversees the repair, maintenance, and insurance coverage of company vehicles.

·Leads by example and models behaviors that are consistent with the company’s values.

·Participates in the Joint Health and Safety Committee and leads and/or performs reparative work and corrective actions as identified.

Minimum Qualifications:

·High School Diploma or general education degree required.

·Minimum of 4 years related experience and/or training.

·Associate degree or bachelor’s degree preferred with focus on business, technical or management areas. Prior supervisory experience preferred.

·Strong organizational and analytical skills.

·Ability to provide efficient, timely, reliable, and courteous service to customers.

·Ability to effectively present information and respond effectively to sensitive issues.

·Ability to calculate intermediate figures sch as percentages and discounts.

·Ability to comprehend, analyze, and interpret complex documents and solve problems involving several options and situations.

·Knowledge of architectural, electrical, and mechanical systems.

·Working knowledge of leases, contracts, and related documents.

·Responsible for setting work unit and project deadlines.

·Able to travel to other Flora sites if needed.

·Must be forklift certified or be able to become certified within Flora.

·Must have valid driver’s license, be insurable and have reliable transportation.

Work Environment:

May require working occasional overtime-flexibility of schedule as needed with short notice. Ability to work independently and in a team environment. Work is performed in fluctuating temperatures.

Physical Demands:

While performing the duties of this Job, the employee is regularly required to walk, stand, reach overhead, bend, and stoop throughout the workday.The employee must regularly lift and/or move 50 pounds.
