As a valued team member of the QNU team, the role ofCoordinator, Beverage Servicesreports directly to the Manager, Venue Services, and will work in close collaboration with the Coordinator, Client & Event Services. The primary objective of the role is to provide exemplary service to all clients in planning, preparation and execution of bar services, as it relates to events or programs to be held at our venues. The role involves liaising with clients, vendors, and is the main point of contact for beverage service-related items from conception to implementation.
1.SCOPE AND PURPOSE
Working to the core values and operational standards of QNU, and as a key member of the Venue Services Team, the role of Coordinator, Beverage Services is critical to the success of venue operations for The Wallace Venue. The role must consistently maintain exemplary guest service and performance standards at all times, with client needs as the primary focus. This position oversees all client communication and coordination related to bar service items, once the Manager, Venue Services has finalized the booking. The services this role is responsible for providing to clients will include, but not be limited to: assistance with bar menu visioning, planning, and budgeting; ordering and maintenance of all liquor and bar service-related supplies; maintaining custom bar quotes for all current clients, and acting as beverage services point of contact for QNU.
Potential for commission as bar program is built out.
2.CORE COMPETENCIES, CHARACTERISTICS AND QUALIFICATIONS
The Coordinator, Beverage Services possesses and demonstrates the following experience and/or capabilities:
GENERAL
- 2 years of proven experience in bar supervision, including inventory management, ordering, cost control, scheduling and staffing.
- Create and maintain menus and cocktail recipes.
- Liaise with Clients to create custom cocktails, as needed.
- Comprehensive knowledge of spirits, cocktails, and wine.
- Train and supervise all event bar staff, ensuring they provide excellent customer service while maintaining a clean and safe workspace.
- Strong leadership and communication skills.
- Excellent customer service and communication skills, both verbal and written.
- Highly detail oriented, exceptional organizational skills and able to handle multiple priorities.
- Adaptability, with ability to adjust expectations, priorities and goals to meet company direction.
- Must be able to work weekends, evenings, and holidays.
- Ability to work in a fast-paced environment and calmly handle multiple tasks.
- Ability to read, write, and speak fluent English.
- Strong working knowledge of MS Word Suite and confidence to learn venue software. Experience with Triple Seat is an asset.
- Ability to lift at least 25 lbs.
EVENT EXPERIENCE
- Must have all valid certificates needed to operate a bar, including but not limited to, Serving It Right
- Excellent customer service skills and a passion for creating exceptional guest experiences.
- Must be able to deal with issues arising from guest complaints (internal and external) in a timely manner using problem solving and de-escalation techniques.
- Ability to accurately estimate labor and beverage costs.
- Ability to handle all guest interactions with a friendly and professional level of hospitality.
- Catering, banquet or group menu experience is an asset.
- Familiarity with local laws and regulations related to the sale and service of alcohol.
3.POSITION RESPONSIBILITIES AND ACCOUNTABILITIES
The following outlines the roles and responsibilities of the Coordinator, Beverage Services, as it relates to the bar and beverage program for The Wallace Venue.
a.Client Relations
- Main point of contact for clients for items related to beverage services, once Manager, Venue Services confirms event; maintaining peripheral awareness of sales and marketing efforts, and incoming inquiries.
- Schedule all bar staff required for each event, providing detailed event briefings, and assignment of tasks.
- High level planning services to assist clients; includes but is not limited to liaising with catering and rental companies, as well as the coordination of any special requirements. (The answer is never “no”.)
- Resolve client concerns and issues efficiently and courteously to prevent a reoccurrence, with a primary goal of successful event execution, and to obtain repeat bookings or referrals.
- Ensure client’s plans comply with all Quay North Urban and legislative policies and procedures.
b.Administration
- Review client file with Manager, Venue Services to ensure accurate transfer of information, and thorough understanding of client needs, to date.
- Liaise with Coordinator, Event & Client Services to ensure all routine maintenance and services for the venues are carried out as and when required, working around client bookings at all times.
- Maintain purchase order system for all payable expenses related to an event booking, or otherwise, reviewing invoices on a regular basis with other departments.
- Perform administrative functions related to event operation, as required, providing backup for other departments when needed.
- Enthusiastically perform other duties as required.
- Develop policies and procedures for Bar Services program.
c.Beverage Services
- Coordinate and oversee all aspects of the beverage services program including scheduling payroll, inventory management ordering, and cost control.
- Create and update cocktail menus, ensuring that all offerings are consistent with the bars concept and brand, with oversight from Manager, Venue Services.
- Oversees approx. 10 P/T bar service team members.
- Stay current with the global trends in new cocktail development.
- Ensures adherence to stock control procedures.
- Monitor and order supplies.
- Liaise with suppliers and sales representatives.
- Confirm that procurement of supplies is on the best possible terms.
- Remain current with relevant legislation regarding alcohol service.
- Train and supervise all bar staff, ensuring that they provide excellent customer service and maintain a clean and safe working environment.
d.Reporting & Meetings
- Regular check-ins with Manager, Venue Services on current client files and upcoming projects, marketing efforts, and other deadlines.
- Regular updates to President providing pertinent information, and venue programming for discussion, approval and/or general awareness.
- Include other team members on relevant email communication, as requested or required.
e.Brand Ambassador
- At all times represent QNU brands professionally, in a manner directed through all communication and interaction.
