Reservationist Responsibilities;


  • Responsible for booking all small group reservations for all Fairmont Pacific Rim restaurants.
  • Ensure the departmental payroll is accurately and efficiently recorded
  • Continuously work with client on all details for each booking.
  • Create and maintain client and guest accounts in Open Table and Opera Sales and Catering.
  • Maintain active daily telephone and email activity with potential customers
  • Follow up on all leads and inquiries for small group reservations both by telephone and through written correspondence within 1 hour
  • Assist the leaders with recruitment and departure items
  • Managing the flow of reservations in all areas on a daily basis, ensuring we maximize productivity, guest satisfaction, and increase restaurant volume.
  • Manage ticket sales and reservations for special event dinners
  • Responsible for receiving credit authorizations
  • Suggest procedural enhancements to the F&B Reservation process to further elevate guest experiences
  • Handle requests for specialty orders such as cake orders or g caters
  • Follow up with each guest post-event to acquire feedback, and implement continuous improvement
  • Attend all F&B, and BEO meetings and operational meetings required.
  • Create BEO, OEO’s for each booking when required, and copy and distribute those needed.
  • Maintain and update official event Calendar
  • Create and maintain client folders for each booking.
  • Ensure guest inquiries are handled professionally, efficiently and effectively including any that come through email or call back ticket format


Administrative Responsibilities;


  • Creating power point presentations for departmental meetings, scheduling departmental meetings, writing and posting meeting minutes and maintaining the office filing system.
  • Work in conjunction with the Food & Beverage Director on promotions, menus, and special events.
  • Assist the leaders with recruitment and departure items.
  • Responsible for managing E-Mails, Tasks, and Calendars for Director of Food & Beverage and other managers within F&B department.
  • Assist with the development and organization of Food & Beverage strategic plans, documentation and compliance.
  • Assist with inputting accurate and specific maintenance requests while tracking progress.
  • Organize and implement administrative systems & procedures, and perform necessary support duties
  • Follow up on guest concerns and share all guest comments with the leaders.
  • Attend the daily Food & Beverage Managers Briefings and other meetings as required.
  • Ensure the departmental payroll is accurately and efficiently recorded using our DayForce system.
  • Prepare and maintain your department’s records
  • Working in the Food & beverage outlets/venues, assisting with guests and other duties when required.
  • Serve as a principal source of information for the Food and Beverage team
  • Participate in weekly walkthroughs of Food & Beverage and public areas to ensure all are documented and followed up to ensure completion of any pending item.


Qualifications


Your experience and skills include:


  • Ability to handle complex and confidential information with discretion
  • Problem solving & decision making skills; analytical and highly detail oriented.
  • Minimum of 1 year experience in Food & Beverage, hotel dining room, or high volume restaurant.
  • Strong business writing and communication is essential.
  • Excellent interpersonal & communication skills; service oriented and a team player.
  • Ability to prioritize work in an environment with multiple interests
  • Previous experience in an administrative sales role is a bonus.
  • Proven successful financial performance of restaurant under their operation.
  • Strong computer skills (Outlook, Word, Excel and MS Office software required, Opera Sales & Catering, Open Table and In Design an asset)
  • Competency using a variety of computer softwares
  • Excellent interpersonal and communication skills
  • Flexible schedule to assist Food & Beverage in all areas as & when required.
  • Product knowledge, including a thorough working knowledge of wines, liqueurs and other beverages.
