Job Description
This position is responsible for assisting in company's recruiting and talent acquisition methods and strategies. They are responsible for reviewing and hiring new employees to fill open positions and meet company's workforce needs and goals. This position reports to the Office Manager.


The Clinical Office Assistant works as a member of the administration team and strive to promote teamwork and a culture that demonstrates the guiding principles of AgeCare: Trust, Respect, Teamwork, and Quality and encourages practices that respect resident, family and staff rights, individuality, and diversity.


Primary Responsibilities


  • Demonstrate flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes.
  • Assist management team with research, analysis and implementation of programs, reports, and projects.
  • Review applicants to evaluate if they meet the position requirements.
  • Work alongside the Resident Care Managers and HR Partners to support the full-life cycle of recruitment and assist in creating a high touch, “best in class” candidate experience.
  • Work closely in a team environment with the ability to partner with diverse teams.
  • Manage candidate flow through our Applicant Tracking System (Workday), including updating candidate information, tracking data and metrics.
  • Provide exceptional candidate experience by moving candidates through the process quickly and professionally with clear communication that embodies our values and guiding principles.
  • Adhere to Union guidelines as required.
  • Support HR initiatives and provide back up support for other schedulers as required.
  • Assist with building and maintaining talent pipelines, by creating meaningful relationships with potential candidates, responding to candidate inquiries, and fostering an excellent applicant experience.
  • Adhere to personal data privacy regulations.
  • Complete necessary pre-employment processes including offer letter generation, reference checks, pre-employment documentation collection, etc.
  • Coordinate with the HR Support, Educator and Scheduling teams on all onboarding documentation and orientation.
  • Provide administrative and organizational support of all recruitment activities related to screening, scheduling, hiring, and onboarding candidates.
  • Perform various administrative tasks that support the Care team.


Qualifications


Education and Experience


  • Proficient in Microsoft Office (Word, Excel, and Outlook)
  • Minimum of two years of experience working on a unit in a medical/health care environment.
  • Knowledge and experience in Workday and UKG are an asset
  • Experience in recruitment role is preferred.
  • HCA Certificate is required.
