Our reputable client in the Non-Profit Industry is seeking a Bilingual Office Administrator to join their team on a full-time basis for a contract of 11 weeks with strong possibility of extension to permanent placement. The successful candidate with be fluently bilingual in French and English, and will be comfortable working onsite Monday-Friday 8:30am-4:30pm.
Responsibilities:
- Manage incoming and outgoing mail, courier packages, and general administrative support for Corporate Services teams.
- Facilitate contract approval and signature process.
- Serve as primary contact for building maintenance, cleaning, repair, and environmental issues.
- Manage travel arrangements and accommodations for the VP, Corporate Services & CFO and meeting participants. Prepare expense reports and coordinate meeting logistics.
- Greet and direct visitors, maintain meeting room bookings, and promote hospitality.
- Provide reception services, answering inquiries, directing calls, and ensuring reception coverage.
- Organize and maintain reception/front office, kitchen(s), boardroom/meeting areas, IT equipment orders, and supply room.
- Assist the Finance Department with supplier communication, payment confirmations, and direct deposit forms.
- Communicate and coordinate with executive/administrative assistants and other Commission staff.
- Coordinate general procurement activities such as office supplies and coffee supplies.
- Coordinate the schedule and activities of the VP, Corporate Services & CFO, including arranging meetings, teleconferences, and speaking events.
- Manage building access and parking pass tracking.
- Perform other duties as needed.
- Working hours are Monday-Friday, 8:30am-4:30pm.
- Assist with invoice processing and VISA reconciliations.
Requirements:
- Experience working in Non-Profit/Community Services is an asset.
- 3-5 years experience minimum working as an Office Manager or in a Senior Administrative position.
- Fluently bilingual in French and English.
- Experience using Sales Force is an asset.
- Proficient on all MS Office Applications, including being comfortable on Excel with functions such as pivot tables and reporting.
- Experience with calendar management for senior staff members.
