Reporting to the Director of Marketing, the Quality Claims Specialist is responsible for the administration of all tasks related to the handling of all quality claims in a consistent, timeline-driven, and cost-effective manner, ensuring that procedures are followed through to submission of the claims to suppliers. Assist in providing technical support to internal and external customers in support of the Director of Product Development and Product Managers where possible. Contribute to and coordinate training materials toward claims prevention and handling.
Responsibilities
The Quality Claims Specialist’s primary responsibility is to reach a claims decision by resolving quality issues efficiently. Prepare and distribute various reports to multiple stakeholder groups. Arrange third-party inspections, review results and report back to stakeholders. Prepare and distribute claims outcome letters as approved by the Product Manager. Escalate claims as per the outlined procedure. Ensure monies are recovered from suppliers within agreed-upon timelines. Prepare and provide claims reports claims towards identifying product, category, customer or supplier patterns. Provide monthly reports to the senior marketing leadership, and to the sales leadership quarterly. Complete the monthly credit dispute report for the credit department and respective branch sales leader. Be familiar with resources to assist with the understanding of product specifications, installation instructions, warranty and site condition requirements. Communicate any mass product quality issues or tips for claims prevention to sales. Provide content for training modules. Prepare content and coordinate training materials for internal and external customer use toward claims prevention, best practices, and educational. Contribute to and leverage Connect (homegrown online training platform).
Qualifications
Required
- Post-secondary education or equivalent practical experience
- Intermediate Computer Skills in Microsoft Office (MS) Word, Excel & Outlook & various online meeting platforms (MS Teams, Go To Meeting, Zoom, Webex)
- Ability to work independently
- Professional attitude with the ability to be tactful/diplomatic in difficult circumstances
- Strong communication skills and ability to deal with challenging situations
- Experience working in an ERP system
- Strong attention to detail
