Our Employee Services team is currently seeking an Employee Services Administrator to join the head office Employee Services team in Brampton, Ontario.
The Employee Services Administrator provides administrative assistance to the Director of Employee Services and is primarily responsible for the administration of total rewards programs for Performance Auto Group employees.
You will perform a wide array of HR related administrative tasks and coordinate activities related to total rewards and organizational development. The ESA role is critical in supporting the Director with HR initiatives, providing exceptional internal customer support, and driving HR functional excellence and process improvement.
You will play a key role in organizational development projects such as system implementations, employment program rollouts and total rewards related activities. The ESA is also responsible for performing routine HR metrics and workforce reports across all HR functions to assist in identifying workforce trends.

Here’s What You’ll Deliver
Total Rewards
  • Conduct monthly billing review in preparation for posting in accounting
  • Perform monthly and quarterly plan audits; report and resolve with manager
  • Handles special projects related to Total Rewards (Group Benefits, Compensation, Pay Equity and Reporting).
  • Maintain employee benefits files, maintain group benefits database
  • Perform daily and routine benefits processing including but not limited to enrollments, terminations, changes, beneficiary updates
  • Administers the job evaluation process to ensure continued internal alignment and pay equity compliance.
  • Perform annual salary updates to benefits service provider
  • Prepare monthly and/or quarterly benefits usage reports for management
  • Maintains organizational bank of job titles and job descriptions
  • Perform claim administration duties related to disability, accident and life claims
  • Administer all employee discount and purchase programs including workperks and employee assistance programs
HR Administration
  • Manage employee file scanning and shredding projects on an annual basis.
  • Compiles monthly, quarterly and annual reports and presentations in order to produce key HR metrics and track key performance indicators and workforce trends.
  • Perform administrative tasks (i.e answering and placing phone calls/emails to respond to employee/external personnel inquiries, photocopying, scanning, filing, research and data collection, drafting memos/charts/presentations etc.) and provide direct administrative support to the Director of Employee Services
  • Present a positive and professional image of the Employee Services office to all visitors, suppliers, inquiries, and other interactions.
  • Research and assist the Director of Employee Services with RFP's and budget options for employment related programs
  • Receive incoming mail; review, evaluate, and distribute correspondence requiring priority attention.
  • Executes HRIS system audits to ensure data integrity of employee data
  • Exercises full discretion, privacy and confidentiality with information in an ethical and professional manner.
  • On a routine and ad hoc basis, build reports both written and graphical using ADP WFN, Google applications and other reporting tools
  • Updates employee services phone lists and corporate contact listings
  • Adheres to all applicable federal and provincial regulations and company policies.
  • Monitors and tracks annual OMVIC dealership renewals for all dealership locations
  • Partners with Employee Relations, Onboarding and Payroll teams to resolve any data issues
  • Perform routine audits to monitor dealer registrations for all dealership accounts to ensure compliance with the Ontario Motor Vehicle Industry Council
  • Executes human capital surveys in order to compile statistics to support the development of employment programs
  • Assumes other duties as directed by the Director of Employee Services.
  • Organize, maintain, and coordinate the employee services corporate office and archive storage.
  • Performs monthly department expense tracking and reporting.
What do you need to succeed?
  • Strong written and verbal communication skills.
  • CHRP designation (or working towards)
  • A minimum of 2 years experience in HR Administration
  • Ability to thrive in a fast paced, high pressure work environment while effectively managing competing and changing priorities.

  • Solid judgment, problem solving skills and initiative.
  • Undergraduate degree or diploma in Human Resources Management or related field.
  • Proven time management skills with the ability to take initiative in the development and completion of assigned projects and duties.

  • Meticulous attention to detail and accuracy.
  • Proficiency in cloud based communications platforms, specifically G Suite applications.
  • Demonstrates utmost professionalism and confidentiality in the performance of duties.

Job Type: Full Time
Salary: $45,000 - $55,000 per year
