We’re seeking a future team member for the role of Analyst, Client Processing, to join our Market Activation team. This role is located in Toronto, ON - HYBRID.


In this role, you’ll make an impact in the following ways:


  • Responsible for maintaining and updating existing documentation for a change in circumstance and change in market requirements events.
  • Prepare market documentation based on standard procedures.
  • Maintains a solid understanding of our service offering and the client’s business profile as it relates to the team’s accountabilities to ensure compliance with regulatory requirements and corporate policies and procedures. Minimizes risk and operational losses by reviewing policies and procedures to ensure that critical controls are in place. Participates in department related projects as needed.
  • Enters, tracks, updates and processes client information onto our internal tracking tools. Monitors and updates various tracking spreadsheets to ensure client documentation is completed in a timely manner and before any market deadlines. Performs mail merge function where applicable, populates forms manually where required and ensures high accuracy in documentation completion. Validates incoming documents; reviews client documentation to ensure client structures and profiles are set up correctly. Understands the client’s structure to ensure they are correctly documented in global markets, which is key to obtaining market entry approval for our clients. Creates account documentation status reports for clients and senior management. Assists clients with any questions related to their outstanding or current documentation. Completes and submits the required documentation to meet regulatory deadlines and follows up with clients as needed. Researches and responds to inquiries from internal and external clients or agencies. Communicate with clients on an as needed basis in an effort to ensure documentation is completed in a timely and accurate manner. Develops and maintains a strong project plan to ensure all required tasks are completed timely. Arranges for a client meeting or a phone call where client input or signatures are needed or to walk them through the complex documentation requirements. Advocates for the client by engaging Legal, Global market Research, or Senior Client Service Consultants, the CRA or Consulates to seek resolution to issues and restrictions that arise in dealing with the market documentation requirements. Takes the lead in the creation of work plans for completing our client’s market renewal documentation. Responds to escalated client inquiries, resolves problems, manages administrative or operational issues and regularly monitors accounts to minimize risk while ensuring client satisfaction and adherence to service level standards.
  • Creates or enhances process and job aid documents where applicable. Recommends process improvements and monitors the impact of changes initiated to ensure the desired outcomes are achieved. Participates in the conversion in of new business to CIBC Mellon by working closely with the new client, the onboarding team and the previous custodian.
  • Ensures a complete and thorough analysis is conducted and impacted client accounts are documented timely and accurately.
  • Acquire in-depth knowledge of market requirements in global markets and uses this knowledge to educate clients and manage expectations.


To be successful in this role, we’re seeking the following:


  • Applicable local/regional licenses or certifications as required by the business.
  • Bachelor’s degree or the equivalent combination of education and experience is required.
  • Experience in brokerage processing is preferred.
  • 3-5 years of total work experience is preferred.
