Position Summary
The Rental Coordinator is responsible for managing all activities related to sourcing and renting AV equipment for projects and warehouse inventory availability and managing vendor relationships.
This position is comprised of an average 40-hour work week with the expectation that hours will be flexible and overtime may occur. This position is based out of our warehouse venue in Toronto and is in-person/onsite.
Job Duties
Technical
- Propose solutions to various problems and suggest improvements to the technical execution of the project
- Respect and promote procedures and regulations by EPiQvision regarding the equipment’s handling and management
- Receive requests for a given project, plan and develop a rental equipment list based on the project, and any pre-production tasks
- Assist with inbound duties and responsibilities as required
Administration
- Manage rental budgets and provide P&L to necessary departments
- Assist with sourcing of and maintaining parts supplies
- Coordinate with the service department on all equipment and service/repair issues to the warehouse inventory
- Manage rental invoices with support from the accounting department
- Review, approve, and close rental agreements
- Maintain a strong system of organization
- Follow-up on missing equipment and reports
- Liaise with vendors to receive up-to-date information for company
General
- Maintain a cooperative and sensitive teamwork attitude when dealing with clients
- Attend company meetings as required
- Maintain professional conduct and appearance at all times
- Provide and maintain a positive relationship with all clients, vendors, employees, and independent contractors through effective communication
- Comply with company policies and procedures
- Other duties as required by company
- Comply with company, industry, and legislative health & safety policies, procedures, standards, and best practices
Requirements
- Forklift Certification is an asset
- High school diploma is required. Post-secondary education in event production, technical production, or equivalent training or work experience is preferred
- Commercial truck driving experience upto 26’ box truck (5-ton) is an asset
- Knowledge of current workplace health & safety regulations, fire & building codes, and AODA regulations in relation to the live entertainment industry is an asset
- 3+ years of equipment management experience
- Ability to adapt to new technology
- Ability to work individually as well as part of a team
- Experience using Flex Rental Solutions software is an asset
- Ability to prioritize and manage conflicting demands
- Communicating orally and written at a professional proficiency level or greater in the English language
- Valid driver's license with a clean driver’s abstract is an asset
- High level of integrity and work ethic
- Knowledge of audio-visual equipment and services
- 2+ years of AV equipment rental experience in Toronto
- Excellent knowledge and experience of specific audio-visual equipment
- 1+ years of warehouse or equivalent work experience
- Proficiency with Microsoft Office and Google Suite
