POSITION: Industry Coordinator
OPPORTUNITY TYPE: Fixed-term, 6- Month Contract
REPORTS TO: Hot Docs Industry Director, Funds & Labs

ORGANIZATION
Hot Docs is a not-for-profit organization dedicated to advancing and celebrating the art of documentary and to creating production opportunities for documentary filmmakers. Hot Docs Canadian International Documentary Festival, North America’s largest documentary festival, conference and market, presented its 30th annual edition in April 2023. Year round, Hot Docs supports the Canadian and international industry with professional development programs and a multi-million-dollar production fund portfolio and fosters education through documentaries with its popular free program Docs For Schools. Hot Docs owns and programs the Hot Docs Ted Rogers Cinema, a century-old landmark located in Toronto’s Annex neighbourhood and the world’s first and largest documentary cinema.
JOB DESCRIPTION
The Industry Programs Coordinator is responsible for processing Hot Docs industry funds applications.
KEY RESPONSIBILITIES
- Provide administrative support on the Doc Accelerator fellows program, booking mentors, processing payments and confirming reporting by fellows
- Lead administrator of World Congress of Science and Factual producers, Emerging Producers bursary, Close Encounters and Speed dating events.
- Processing expense reports, managing filing and online systems hygiene.
- Provide administrative support for year-round Industry programs and Hot Docs’ Funds & Labs, including tracking fellows and payments, coordinating selection meetings, and conducting exit polls.
- Provide administrative support to Industry funds, labs and events including and not limited to processing applications, information verification, tracking projects, and conducting exit polls.
- Managing Asana input and task scheduling across the department.
- Responding to research requests and data pulls as needed.
- Additional projects adjacent to and related to role may be assigned.
- Gathering film success stories from HDI Alumni
- Provide administrative lead to Podcast creators lab sessions; including and not limited to managing fellow and mentors schedule, follow up emails, coordinating training sessions and conducting exit polls.
KEY REQUIREMENTS
- Exceptional administrative and organization skills with an eye for detail;
- A highly motivated self-starter with strong time-management skills, who responds efficiently to changing workflow needs;
- Relevant festival, event, or other relevant professional experience; related degrees are an asset;
- Strong experience with salesforce, or other database systems, is an asset.
- Creative thinking, sharp analytical and problem-solving skills;
- An assertive ability to get responses and information from stakeholders quickly
- Excellent communication skills, both oral and written;
- Ability to work in-person at Hot Docs Industry events;
- A working knowledge and interest of the documentary industry: the documentary filmmakers, their projects and the major funders (including broadcasters, funds, distributors, platforms, etc.)
- Adaptable to a flexible work schedule including some evenings and weekends;
- Must be proficient in Microsoft Office 365, Google Suite, Dropbox, Zoom (Salesforce, Asana, Slack also an asset);
