Program Assistant, Ppqa, Planning And Evaluation (Pft) (Cupe 72.23)

Scope of Position:

• This position performs a variety of support functions key to the successful Public Health program delivery. The Program Assistant uses a variety of computer applications, problem solving and judgment skills to develop and maintain effective processes.
• Ensure the planned health unit programs and services are in alignment with the Ontario Public Health Standards.
• Establish a strategic communication plan with the Health and Social Services Department.

Position Description:

• To record and distribute Agendas and Minutes for various committee meetings.
• To engage with colleagues in a systematic approach to quality improvement, including the definition of the purpose and scope; development, testing and implementation of change ideas; and measurement of reach and impact.
• To schedule various internal and external appointments and events.
• To process incoming and outgoing mail.
• To assist program delivery by using divisional databases and web-based applications including but not limited to Maxident, iPHIS, Hedgehog, Panorama Immunization and Panorama Inventory modules, DWARS, ISCIS, OHISS, CCM, etc.
• To contribute to the identification and prioritization of areas for improvement within the six dimensions of quality (safe, effective, efficient, timely, person-centred and equitable).
• To assist all external and internal customers in a friendly, positive, professional and time sensitive manner.
• To maintain and administrate the File Trail database which includes creating/preparing new files, changes to existing files, printing Records Management usage reports.
• To conduct switchboard and front-counter operations and provide a broad range of information in response to customer inquiries as needed (i.e. email follow-up).
• To provide clerical support using Corporate standard software including Microsoft Office and Sharepoint.
• Other duties as assigned.

Requirements
Knowledge and Skill:

• High school grade 12 graduation plus an additional Administrative or related program of one year and up to two years.
• Over one year and up to two years related experience.
• Basic knowledge of the principles of health promotion is an asset

Skills and Abilities:

• Keyboarding skill of 45 wpm with 80% accuracy (confirmed through testing process)
• Valid Ontario driver’s license and access to a reliable vehicle.
• Must be aware of safe work practices as they relate to job responsibilities and work environment, and have the basic understanding of the Occupational Health and Safety Act
• Computer expertise in corporate standard software (Microsoft Office) and department specific software for data search and entry and to create and modify documents (validated through standard excel testing)
