Job Description
Health Association Nova Scotia is a not-for-profit, non-government, membership-based association with over 60 years' experience in delivering shared services, policy support and expertise our customers can count on. LEGAL ASSISTANT - Disability Team - FULL TIME, PERMANENT


Group Benefits Solutions (GBS) provides benefits to over 43,000 health care workers and retirees. We are the largest provider of benefits in Nova Scotia's health system, offering a broad range of Employee Benefit Plans, including Group Life, Health, Dental, a self-insured Long Term Disability Plan (LTD), and a menu of optional benefits.


Position Scope


This position is a full time, permanent position, reporting to the Director, Group Benefits Solutions (GBS). This role is unique and will work with a team of professionals within the GBS department's Disability unit as well as the Long Term Disability Board of Trustees.


Role


65% of the role will provide support to the legal team (Legal Counsel and Disability Program Manager) in legal matters as follows


  • Assisting Legal Counsel in the preparation of documents and coordinating service and filing of proceedings with agencies and courts.
  • Monitoring and organization of legal files, including evidence gathering.
  • Assist the legal team.
  • Scheduling and coordinating discoveries, mediations, other litigation matters and other court-designated hearings.


An additional 15% of the role is provide support to the Director as follows:


  • Provide administration backup support for the remainder of the GBS team as needed.
  • Calendar management for the Director and provide general administration support from time to time.


The remaining 20% of the role is to update and maintain governance policies working closely with the Manager GBS and to act as recording secretary for the Board of Trustees (approximately 6 meetings annually).


Qualifications & Experience


  • In-depth knowledge of legal terminology, court rules and procedures.
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Publisher, Outlook, Teams, and SharePoint).
  • Legal Assistant Diploma or equivalent with minimum of 3 years experience as litigation legal assistant.
  • Experience in records retention, filing and general office procedures.
  • Strong attention to detail and superior keyboarding, proofreading with a sharp eye for detail and accuracy.
  • Knowledge of governance policies and support as it applies to Boards and Committees is considered a strong asset.
