HIRO is unique in its ability to provide evidence-based, client and family centered ABI rehabilitation care in the community. We work with clients and their families to achieve goals that are meaningful for them throughout our continuum of care; from six residential care homes, to transitional living apartments and to community services including group as well as outreach. HIRO serves people from across Ontario through services in Hamilton, Burlington, Niagara, St. Catharines, Brant and Haldimand-Norfolk regions. During the COVID-19 pandemic HIRO has implemented a leading-edge infection prevention and control program that goes beyond legislative and regulatory requirements and adopts rigorous best practices to ensure client and staff safety.
ABOUT THE OPPORTUNITY:
The Assistant provides support to Finance, Human Resources and the general operations of the main office.This key role links the operations team to help ensure the smooth running of the agency’s back-office services. It is an ideal role for a candidate who has strong numeracy and problem-solving skills, who can juggle and meet deadlines, and has a customer-service approach to work.
RESPONSIBILITIES:
Administering accounts payable (AP) and accounts receivable (AR)
•Prepare, distribute client invoices as per client billing process
•Post client & vendor invoices (e.g. staff expense reports and paymaster transactions)
•Issue vendor payments in a timely manner
•Post all monies received or paid out (as per bank statements)
•Monitor AP and follow up on overdue accounts
•Monitor the finance department email to manage vendor and customer communications.
•Maintain AP & AR files (paper & electronic copies) in accordance with agency policies
Supporting Human Resource/Payroll
•Process monthly union dues, EHT, and WSIB remittances
•Back-up scheduling duties
•Run bi-weekly payroll when Payroll Analyst/Finance Coordinator not available
Office Coordination
·Configure security passes
·Manage keys, passes and parking inventory
·Office supplies stocking
·Liaise with suppliers/help desks
·Work in the Main Office and greet visitors/inbound callers as needed
Mail Room
·Receive and distribute inbound packages and letters
·Coordinate outbound deliveries
Procurement Support
·Research vendors and suppliers
·Provide admin support to Procurement Leads
·‘Internal audit’ on procurement folders and documentation
Compliance
·Coordinate information to complete compliance report needs
MINIMUM QUALIFICATIONS:
To be considered you will have:
·Diploma in Business Administration
·1-2 years work experience in office or finance department using accounting software (performing bookkeeping tasks) and/or HRIS,
·At least intermediate skills in Microsoft Excel, Word and Outlook

- Effective time management and multi-tasking in an environment with fixed deadlines;
- Excellent verbal and written communication skills;
- Excellent interpersonal and problem solving skills.
