THE ROLE
Your key focus in this position will be to set, drive, motivate and manage the business units to achieve quarterly and annual goals as well as their corresponding metrics. You will also provide the founder, board and group executives, dashboard overviews of the progress, successes and opportunities for improvement across the various areas of the company. This position will entail maneuvering collaboration across the range of businesses with a vast array of c-level executives, including but not limited to areas of sales, finance, marketing, R and D, regulatory and operations. You will be well seasoned in program and project management, with a specialty in project portfolio management and proven experience in leadership, risk and issue management You will be an excellent communicator with expertise in digital and technology transformation. You will aid the overall success of the company by prioritizing multiple, sometimes conflicting and challenging priorities, providing strategic direction and holding the team to tight timelines. You will be broadly measured by your ability to establish and implement clear goals and KPIs across the organization and lead performance management to high achievement and through to their completion.
You are our company's ultimate hawk and problem solver - scoping out what needs to be done, overseeing every actionable item within the active projects and ensuring the challenges are pushed through to completion. You will forecast timelines, streamline project efficiency and increase productivity while maximizing output. Your ability to learn quickly, juggle multiple projects, work autonomously and maintain excellence in an organizational structure will be beneficial to prioritizing and managing the company's goals. You will be responsible for delegating and adjusting project management as you see fit to meet the overall objectives and goals of the company.
The ability to think on your feet, assume ultimate responsibility for task completion through both assistance and delegation, exercise creative thinking and challenge resolution as well as being reliable are key traits to being successful in this role. We are seeking someone who isn't afraid to get their hands dirty and enjoys diving into unknown territory where they are constantly developing new skills in different avenues.
The expertise you have built will enable you to troubleshoot issues before they even happen and bring sound solutions to various problems as they arise - and quickly! Your strength of character will fill any space between your experience and a new task you may not have encountered before but will power through successfully. You will be a valued confidant to the founder and the company's executives - their success relies heavily on you.
IMPACT
Within 3 months or your first 90 to 180 days you will:
  • Implement and execute a format which allows weekly 60 minute dashboard reporting into the founder, board and group of executives, providing a snapshot overview of the progression of goals against KPIS, as well as suggestions for areas of opportunities and improvements
  • Implement Rockefeller Habits/Scaling up as a framework with all checklist items covered
  • Initiate and establish a PMO
  • Identify the gaps within the hiring team and create and execute a plan to hire the team required to successfully support 5 businesses with 50-100 people, with less than 10% turnover
  • Select, install and set up real-time performance management / goal performance reporting dashboard and bring to life meeting systems planned and activated at all levels and detailed and alive project plans for all goals in organization. Launch quarterly goals at an all hands meeting.
  • Set up and install a recruiting plan to optimize the org chart and draft role definitions in partnership with the Talent Director for all roles for the upcoming 2 quarters
  • Execute company annual planning and quarterly planning by meeting with all staff, identifying 5 critical goals and fully realized goals for each, including a project planned mapped for execution with a minimum of 75% completion by end of quarter
Core Responsibilities
  • Risk management & crisis resolution as necessary to ensure project timelines stay on track
  • Predict and plan internal & external resources needed to progress deliverables in a timely and efficient manner
  • Develop & maintain relationships with employees at all levels of the organization to ensure ease of communication and flow of information
  • Report, flag and help the team work through solutions on project challenges as necessary
  • Develop detailed project plans and schedules to track project status
  • Analyze & monitor project progress & performance to optimize strategies for efficient completion
  • Scope and define SMART goals for the business units, providing guidance for all other goals to provide a clear path to these goals
  • Measure performance and track projects using appropriate software
  • Provide project updates to executives on a consistent & continuous basis specific to strategy & progress towards completion weekly
  • Partnering with the founder to soundboard ideas and strategy to achieve a multi business executive team achieving peak performance and following through with the implementation
  • Work with talent to identify and acquire ft, pt, and contract resources to solve bottlenecks and roadblocks in teams and businesses
Requirements
  • Experience partnering with founder/exec/ entrepreneur to manage and organize executives and executive teams for peak performance in a multi-business structure
  • 8-10+ years in project and program management for a large company
  • Strong strategic planning and financial and business acumen
  • Able to work in PST. Flexible hours occasionally working late or weekends when necessary.
  • Bachelor's in Business Administration, or related field;, a PMP, PPM and/or MBA preferred.
  • Previous recruiting and hiring experience
  • 8+ years of people management experience leading global teams
  • 3+ years of experience in an early-stage startup or hyper-growth environment (growth 100%+ per year)
  • Strong willed individual who is assertive and results oriented
  • Lean Six Sigma Black Belt Accredited, Total Quality Management (TQM) Certified, or similar
  • Meticulously organized - you make use of Gantt charts, pert, timelines, official project management and project portfolio management software.
  • Experience running and executing multi-million-dollar budgets across multiple technology platforms and business areas
  • Experience with strategic vendor management and contract management including contract negotiation and supplier risk management
  • Must have project portfolio management experience in a diverse and cross functional team
  • Ability to develop and deploy initiatives by influence
  • Ability to pivot quickly, stay calm under pressure and streamline processes in a fast paced, high growth, and chaotic environment
  • Expert proficiency in Microsoft O365, G Suite, Mac, et al. and implementing technology to make the team more efficient and effective
  • Strong oral and written communication skills and ability to challenge the status quo
  • Ability to work autonomously and take accountability working independently
  • Extremely detailed and organized
  • Experience establishing and implementing a PMO from inception to functionality
  • Ability to deal with ambiguity and work in a dynamic, results-oriented matrixed environment

Compensation
We offer a competitive base salary with an additional lucrative profit share program. A generous options package will also be provided in this role so that you participate in short-, medium- and long-term liquidity events in our organization.
