Job Summary


The Project Coordinator is responsible for coordinating the design, development, management, execution, and evaluation of projects that advance the priorities and strategic objectives for the NetOMM CREATE Program and within the Department of Materials Engineering. The incumbent will coordinate a number of projects of varying size and complexity within both.


The Project Coordinator works under the overall direction of the Head of Materials Engineering Program, with day-to-day reporting to the Net0MM Director. The Project Coordinator will work collaboratively with cross-functional teams, including, staff, faculty and students. The incumbent will contribute to the entire project lifecycle including gathering information from stakeholders, preparing project documentation, tracking progress of work/schedules, managing communications, conducting analyses, and other associated project tasks.

Work Performed


Project & Stakeholder Management


  • Coordinates and supports multiple concurrent projects focused on advancing the strategic objectives and goals of the Net0MM Program and the Materials Engineering Department
  • Engages stakeholders from across units and functions in collaborative project work in a way that values their input and is informed by change management principles and best practices
  • Develops and implements internal communication tools and business processes for use between team members to keep them informed of project status, scope changes, and milestone achievements.
  • Coordinates project activities, follows up on action items and deliverables to ensure completion, and keeps the project on track and focused on achieving the intended outcome
  • Plans projects by defining scope of work and deliverables that will produce the intended outcome, and by estimating time and resource requirements
  • Researches and writes project documentation including plans, scope statements, schedules, budgets, risk management plans, reports, status updates, and briefing notes, as needed
  • Plans, supports, and facilitates project meetings, with a focus on tracking decisions and action items for follow up.
  • Forms relationships with relevant UBC programs, and identifies opportunities for collaboration with, and direct students and faculty to these programs where appropriate.
  • Provides key project support for the Net0MM Create program by working closely with the Program Director, ensuring quality and equity of services
  • Conducts analysis and consultation to understand the purpose and the intended outcomes of projects, which may include liaising with multiple stakeholders, including industry and external collaborators, faculty, staff and students
  • Develops positive and productive working relationships with stakeholders and manages day-to-day communications with stakeholders, responding to concerns related to projects.
  • Deals with industry, faculty members, staff, students, and all others in a professional manner, representing the program and the Faculty in professional manner


Data Management


  • Coordinates and oversees the creation of a variety of assets including videos, testimonials and other materials used for program promotion, engaging necessary external resources, and industry collaborators when necessary
  • Develops process for, and systems to support tracking and reporting on student outcomes for the Net0MM program
  • Develops and reviews written communications for use in a variety of channels, including event promotion, program website, and a variety of social media channels which are consistent with the Faculty of Applied Science and UBC brand standards
  • Development of marketing materials to support promotion of program within UBC and APSC brand standards
  • Develops process for, and systems to support collection of necessary data to support NSERC reporting requirements
  • Develops and implements programs and procedures to recognize student and alumni achievements and contributions; provides content for the Materials Engineering and Net0MM websites.
  • Preparation of written reports including assistance with preparing materials for program review, as required
  • Works closely with the Faculty of Applied Science Marketing and Communications team to develop necessary content to keep the program website and online materials up to date
  • Tracks finances for the Net0MM program.


Consequence of Error/Judgement


Work requires judgment and initiative. Makes day-to-day project decisions that impact the success of projects that are vital to achieving the Materials Engineering Program and Net0MM strategic objectives. Errors, inappropriate judgment, or premature disclosure of information could have a significant impact on the success of project delivery and subsequent effects on the program’s ability to achieve its strategic direction.


Supervision Received


Working under the direction of the Head of the Department of Materials Engineering (MTRL), and Net0MM Director . Works independently under the guidance of the MTRL Head and Net0MM Director. Performance is evaluated against set goals and expectations.


Supervision Given


May provide supervision to student staff and co-op students, student employees, and volunteers, including recruitment, hiring, training, coaching, feedback and evaluation if required


Minimum Qualifications


Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications


Undergraduate degree in a relevant discipline. Master s degree preferred. Minimum of two years of related experience or the equivalent combination of education and experience. Experience in overseeing project design, implementation, and evaluation. Knowledge of university systems and structures. Excellent interpersonal skills and cross-cultural sensitivity are needed. Expertise in designing and delivering workshops and managing large events. Excellent writing and oral communication skills required. Ability to effectively use appropriate software (e.g., Outlook, MS Word, MS Excel) at an advanced level. Ability to work flexible hours, including evenings and weekends. Ability to organize events, plan ahead, anticipate problems, and meet deadlines efficiently. A highly motivated, creative person with outstanding critical thinking. Proven ability to envision and implement innovative process and provide quality customer care.
