Job Description
On behalf of our client, Procom is seeking a Senior Program Support Analyst for a 12 month contract that is fully remote.


Senior Program Support Analyst Job Details


The Senior Program Support Analyst (SPSA) assists to develop, execute, and support PMO capabilities and overall program control and success.


  • Interacts with program leadership and team members to provide quality assurance reviews, compliance audits, analysis, feedback, coaching, and counselling in the application of PMO delivery processes and practices
  • Engages with program leads to implement ongoing continuous improvement to PMO processes and methodology by applying current trends and best practices, as well as assessing effectiveness through lessons learned
  • Continuously adapting workload and priorities to support program needs to drive success
  • Development and maintenance of Project Management Office (PMO) Toolkit, handbook, guides, and templates


The SPSA is expected to utilize their skills in both program and project management to provide leadership and a strong support network for Program Leadership, Managers, and team members in all phases of the program/projects. They will effectively assist to develop and support key program capabilities including, but not limited to:

Senior Program Support Analyst Responsibilities


Program/Project Management Support 30%


  • Coordinates and manages onboarding plan for all program resources.
  • Operates with a continuous improvement mind-set, looking for opportunities to improve results and personal performance.
  • Facilitates or co-facilitates project management meetings like scope planning, resource planning, sprint planning and sizing exercises, and lessons learned
  • Develops, enhances or leverages tools, reporting capabilities and systems already in place that provide the required level of detail and information needed by the Project Management Office (PMO).
  • Monitor and track factors affecting project health and reports and escalates as necessary.
  • Ensures and owns accuracy and integrity of data quality within the PMO.
  • Engage in continuous improvement activities. Looks for and develops solutions that have benefits for the customer, thinking beyond the current issue of customer to generate new and innovative solutions.
  • Keeps program managers informed of potential complex or sensitive issues, recognizing issues requiring escalation.
  • Contributes to project discussions and participates as an active member of the program team. Builds morale and cooperation within the team, including creating symbols of group identity or other actions to build cohesiveness.
  • Maintains quality of project work, where applicable and checks to ensure that procedures and project management methodologies are followed
  • Investigates, escalates and ensures that all project administrative issues are effectively resolved.
  • Assist to develop, monitor program metrics and Key Performance Indicators. Assist to define program standard for success and continuous improvement and contributes to its achievement.
  • Proactively assumes responsibility to present ideas to manager and engages others to also demonstrate this behaviour.
  • Provides support to PMO Manager, throughout the development and execution of the program to ensure successful delivery of the PMO and program objectives.
  • Cultivates a strong working relationship with program leadership and managers and obtains a deeper understanding of organizational dynamics from them.
  • Performs other duties as assigned.
  • Drives and promotes continuous improvement of client’s project management and project delivery methodologies by applying current trends and best practices
  • Participates in the development of the PMO methodology and tools. Identifies, adopts, and develops, as appropriate, project management practices, methodologies and standards to meet needs of program and to ensure consistent program delivery and results


Program/Project Management Deliverables 20%


  • Organizes and oversees program governance and the approval process for key deliverables. Anticipates upcoming meetings, and plans ahead for next steps.
  • Utilizes project management software to create, update and maintain project schedules with new and revised work packages and plans
  • Accountable for project / program / portfolio documentation. Provides assistance in monitoring the plan and milestones as required. Identifies and recommends opportunities to enhance productivity, effectiveness and operational efficiency.
  • Analyzes data relationships for key program metrics and identifies areas of risk
  • Ensures reporting and appropriate project documentation is properly completed (i.e. reports, change requests, presentations, invoices, correspondence / communications, tables, charts, files, etc.)
  • Assists in planning, organizing, preparing, managing and documenting of project meetings. Recording actions, issues, decsions, & risks
  • Contributes to the creation and management of reporting/communications, action, risk and issue logs.


Special Skills 50%


  • Support management of project plans/scope/budget, monitoring, tracking and reporting.
  • Assist project managers with creation of weekly project status reports, as required.
  • Identify any gaps from resource requests to what was fulfilled such as start/end dates, allocation, skills, etc.
  • Responsible for Resource Management in the confirmation and execution of resource onboarding/off boarding procedures, resource capacity and utilization metrics and assist with resource fulfillment.
  • Identify and submit extension resource requests per PMO process.
  • Monitor and validate time tracking data and metrics.
  • Responsible for development, execution, and maintenance of the program Communications plan.
  • Develop and maintain Program documents as required, such as Program Handbook.
  • Ensure Resource Gold is accurate and aligned with forecast and timecard.
  • Responsible for the development and execution of the Work Plan Management process, including work plan guidelines, project plan template and processes to maintain the work plans. Support the Progam Manager in the work plan management process. Establish and execute time entry process and metrics. Develop and support Work plan KPIs and metrics. Maintain guidelines for project plans highlighting dependencies and milestones.
  • Manage resource forecasting and liaise with the Resource Coordinator for fulfillment.
  • Develop and maintain Program PM Methodology and Process. Develop PM toolkit. Regular process review and continuous improvement. Provide support to PM and leads for coordinated delivery effort and structure.

Senior Program Support Analyst Mandatory Requirements


  • Project Management Professional (PMP) designation is an asset.
  • Agile Certified Practitioner (ACP) designation is an asset.
  • Five years of work experience in project/program management through all phases of the project lifecycle.
  • Experience working in a program management office is an asset.
  • One year experience working at a Program support level
  • Certified Scrum Master (CSM) designation is an asset.
  • Certificate in Project Management or project related experience.
  • Degree in Commerce, Information Technology, Computer Science, or related discipline
  • Experience tracking and monitoring at a program level is an asset
