ABOUT THE POSITION
The Project Coordinator plays an integral and important part in the Development Team by helping to support the team with a variety of tasks, ranging from general administration and coordination to minor project management. This role is ideal for a collaborative, self-starter with strong time management skills and attention to detail.
KEY RESPONSIBILITIES
- Editing/proof-reading communications to management.
- Working closely with the Development team and Project Managers, responsible for preparation and distribution of meeting agendas, meeting minutes, and other key project reporting and communications.
- Support Development and Project Management staff as required with day-to-day project tracking and client deliverables.
- Collecting, organizing, and tracking due diligence deliverables.
- Tracking all critical dates which will require updating multiple information resources and departments.
- Support all necessary planning and help to oversee all on-site activities.
- Responsible to support tracking of all financial details related to contracts, committed costs, change orders, invoicing, etc. to ensure accurate, real-time reporting.
- Review requisitions, change orders, and other invoices associated with the project. Validate all details and ensures appropriate approvals in place before distribution.
- Responsible to help track Project schedules and key project milestone schedules for accurate, real-time reporting on critical dates.
- Coordinating all internal and external meetings, and taking detailed meeting minutes
- Track municipal development cost charges in all relevant markets.
- Lead the preparation of various Consultant and Construction Management RFPs and prepare analysis of submissions and provide guidance on completeness.
- Coordination and tracking of Site Plan Approval processes
- Assist in site evaluation process for land acquisitions.
- Perform related assignments as required in the daily operation of the department.
- Extensive use of MS Office Suite of tools and preferred project management technology platforms
- Assist with municipal development approvals including Site Plans, Zoning By-Law Amendments and Building Permits
- Keeping weekly agendas and project logs up-to-date.
- Meeting/calendar coordination and bookings with partners, client and consultant teams
- Support development/project management team in completing administrative tasks as required.
- Support preparation of any regular Project Status / Executive Status reporting.
JOB REQUIREMENTS
Education and Experience:
- Knowledge of municipal review and approval process.
- 2-3 years experience in real estate development, construction, project management or engineering environment
- Undergraduate degree in Engineering, Urban Planning, Architecture, Construction, or a related discipline.
- Experienced in reading and understanding architectural and civil drawings, Purchase and Sale Agreements, and Development Agreements include Municipal Planning Documents is considered an asset.
- Certified Associate in Project Management (CAPM)® designation, Project Management Professional (PMP)® designation, or Project Management Certificate from a qualified University or College would be considered an asset.

- Ability to develop excellent relationship management skills with team, municipal staff and consultant team.
- Ability to identify opportunities/requirements and develop solutions.
- A methodical thinker with excellent problem-solving capabilities.
- Ability to work in a fast-paced and dynamic environment.
- Superior organizational and time management skills in order to multi-task/prioritize and work under tight timelines
- A self-starter who demonstrates initiative and is comfortable working within a team and independently
- A professional demeanor with strong written and verbal communication skills. Ability to speak other languages is considered an asset.
- Excellent computer skills with a strong proficiency in Word, Excel, PowerPoint, Project, Acrobat Pro And Bluebeam Revu
- Ability to travel to job/project sites and other locations is required.
- Superior attention to detail with excellent follow-up skills.
