Primary Purpose
The Operations and Facilities Manager is responsible for management and maintenance of the University’s facilities and managing the Health and Safety department. The responsibilities also include ensuring effective and efficient day-to-day operations of the campus(es).
Specific Responsibilities
The Operations and Facilities Manager position is responsible for the following as well as other related duties as assigned to support the business objectives and purpose of the University:
- Plan all facility work, control schedules, manage contracts, develop work standards, and evaluate both employees and external contractors.
- Ensure the smooth running of basic facility operations, checking that they are up to institutional standards and regulatory requirement.
- Ensure compliance with building lease agreements.
- Contribute to the development of long-term capital plans and shorter-term maintenance and improvement plans.
- Manage the campus facilities budget.
- Contribute to workplace planning and design, including procuring and managing furniture and equipment for areas such as lounges, offices, classrooms, and communal spaces in the facilities.
- Liaise with contractors or vendors to coordinate facility services, including cleaning and security contractors.
- Assist with campus layouts and provide support when there are changes and/or reconfigurations.
- Manage and delegate administrative services such as cleaning, maintenance, safety inspections, security, and weather-related matters.
- Ensure property and employees are secure and follow university policy and procedures.
- Working with security contractors, proactively monitor campus security issues and provide recommendations to improve security measures for the campus and its occupants.
- Working with the IT team, ensure printers, copiers and other peripherals are supplied and operating properly.
- Coordinate procurement of office supplies, staff kitchen supplies, and other operational needs.
- Manage campus room bookings. Supports the Registrar by ensuring classroom and ensures room set up.
- Manage Information Desk and other general reception and administration functions.
- Manage the Health & Safety team to develop, implement, and evaluate health and safety strategies, programs, policies, and procedures.
- Manage and investigate all health and safety related complaints, conduct proactive workplace inspections, and deliver training programs to management, employees, and students.
- Maintain workplace safety equipment such as Personal Protective Equipment (PPE) and First Aid Room and kits.
- Document and maintain records of injuries and workplace incidents.
- Maintain compliance with workplace health and safety regulatory requirements.
- Prepare reports and/or documents in a timely manner as needed or requested by management or regulatory bodies.
- Other duties as assigned.
Position Requirements
To be successful in the Operations and Facilities Manager position, an individual must possess, and be committed to developing, maintaining, and demonstrating the following:

- Proven ability to organize and prioritize multiple tasks effectively, based on urgency.
- Ability to analyze and assess various scenarios and problem-solve.
- In-depth knowledge of the Workplace Safety and Insurance Act.
Education and experience
- Valid driving license (required).
- 2-3 years of experience working in the areas of Facilities, Operations, Health & Safety, or a combination of education and experience in relevant fields.
- Occupational Health and Safety Certification (an asset).
- Minimum Bachelor’s Degree: Master's Degree is preferred.
- Minimum Occupational First Aid Level 2 (required).
